Executive Director of Billy's Place, A Safe Community for Kids and Families Experiencing Grief
Part-Time Nonprofit Accountant (10 hours/month)
This is a W-2 Hybrid Position
Reports to the Executive Director
Billy’s Place is looking for a mission-driven, detail-loving Part-Time Accountant to keep our numbers clean and our impact loud. We’re a small, mighty team helping grieving kids and families.
We are quirky, fun, a little intense, and allergic to sloppy reconciliations. If you thrive in QuickBooks Online, speak fluent nonprofit (restricted funds, grants, audits), and enjoy turning spreadsheets into clarity, you’ll fit right in. We’re growing into a new home, and this role will grow with us.
Roles and Responsibilities
Month-end close & reconciliations: Bank/credit card reconciliations, journal entries, accruals, and clean, supportable workpapers.
Accounts Payable: Set up vendors, code invoices to programs/funds, schedule/pay bills, and maintain 1099 files.
Budgeting & Forecasting: Partner with the ED to build an annual budget, update rolling forecasts, and flag variances and trends
Collaborate with leadership to develop long-term financial strategies aligned with the organization's mission and goals.
Grant & Fund Tracking: Track restricted/unrestricted activity, releases, and grant spend-downs; prepare simple grant financials.
Audit Prep: Own PBC lists, schedules, confirmations, and tidy tie-outs; coordinate with the audit firm like a pro.
990 Coordination: Prepare year-end trial balance and schedules for the tax CPA; review drafts for accuracy.
Financial Reporting: Produce transparent monthly financials and board-ready reports (P&L by class/program, balance sheet, cash flow).
QBO Administration: Maintain a logical chart of accounts & classes, streamline workflows, and document simple SOPs.
Internal Controls: Ensure compliance and efficiency (approval flows, documentation, backups, and a “no surprises” policy).
Skills and Abilities
Nonprofit accounting chops: GAAP basics, fund accounting, grants, and audit/990 cycles.
QuickBooks Online expert: You know the shortcuts and the “why,” not just the clicks.
Detail hawk + big-picture thinker: You can zoom into a transaction and zoom out to a forecast without losing the plot
Clear communicator: Turns finance into plain English for humans who don’t dream in debits.
Organized & proactive: You bring checklists, timelines, and gentle “hey, missing receipt?” energy.
Mission-first teammate: Confidential, dependable, and invested in our kiddos and families.
Qualifications
Audit prep and 990 coordination experience strongly preferred.
3+ years of nonprofit accounting experience required (fund accounting & QBO).
The hiring range is based on experience and scope, with rates ranging from $35 to $45 per hour. Benefits include a flexible work schedule, auto and cell phone allowance, PTO, an awesome team environment, and room for advancement within this growing non-profit. Approximately 10 hours/month to start (flexible up during audit/990/budget season).
