Job Summary We are seeking a detail‑oriented Payroll Specialist to independently process multi‑state and multi‑provincial payroll from start to finish. Payroll responsibilities will cover biweekly and monthly processing timelines. In this role, you will be solely responsible for ensuring accurate and timely payroll processing, compliance with federal, state, provincial, and local regulations, and maintaining employee payroll records. The ideal candidate must be willing to collaborate closely with other departments. This role is critical in ensuring employees are compensated accurately, on time, and in compliance with company policies and government regulations.
Duties & Responsibilities
Prepare and process end‑to‑end payroll and associated information for US and Canada operations.
Maintain confidentiality of all payroll information and employee data.
Collate and verify data and input into the payroll system (UKG).
Verify paid time off accruals and balances across all companies.
Set up new employees in the payroll system.
Update payroll records and process routine changes to employee records.
Perform basic reconciliation and auditing processes during each pay cycle.
Produce federal, state and local tax payments and reports.
Prepare and distribute payroll records as needed for accounting and auditing purposes.
Respond to verifications of employment and wage garnishments.
Respond to pay‑related inquiries from employees.
Research and resolve errors or omissions promptly and professionally.
Prepare and submit reports and forms required by IRS or other regulatory bodies.
Follow all processing procedures, adhere to policies, and maintain confidentiality.
Maintain up‑to‑date knowledge of city, state, provincial, local, and federal legislation affecting payroll.
Work with other departments, such as Human Resources and Finance, to ensure accurate and efficient payroll processing.

E‑filing Employment Tax.
Garnishments and Levies.
Paid time off tracking.
Pay and Bonus Calculations.
Payroll Tax Reporting.
Timesheet Auditing.
Travel & Expense Software.
Experience in UltiPro/UKG is a big PLUS.
Requirements
Possess a professional, corporate appearance and attitude with a high regard for respect and confidentiality.
Ability to manage multiple tasks, operate within tight deadlines, and elevate issues as necessary.
Excellent attention to detail and organization.
Working experience in Excel.
Proficiency with Microsoft Office products.
Education & Experience
Minimum of three years working experience as a payroll specialist required.
