Job Summary:

The Executive Assistant will provide comprehensive administrative and executive support to the executive team, ensuring seamless operations and efficient workflow. This role requires professionalism, confidentiality, and exceptional organizational skills to manage calendars, coordinate meetings, handle correspondence, and perform clerical duties. The ideal candidate is proactive, resourceful, and thrives in a fast-paced, matrixed environment while maintaining composure and professionalism at all times.



Key Responsibilities:
  • Provide high-level administrative support, including managing calendars, scheduling meetings, and coordinating travel arrangements.
  • Prepare reports, correspondence, and presentations with accuracy and attention to detail.
  • Handle information requests and ensure timely communication across departments.
  • Greet visitors, answer calls, and manage executive correspondence with discretion and professionalism.
  • Organize conference calls, team meetings, and events as needed.
  • Maintain confidentiality and exercise sound judgment in handling sensitive information.
  • Assist with project coordination, documentation, and record management.
  • Adapt processes and procedures to meet departmental goals and deadlines.
  • Build strong working relationships across all levels of the organization to facilitate collaboration and efficiency.
Required Skills:
  • Minimum of 3 years of experience as an Executive or Administrative Assistant.
  • Proficiency in Microsoft Word, Excel, and PowerPoint (including table creation, mail merges, and formatting).
  • Strong organizational and multitasking skills in a fast-paced environment.
  • Excellent verbal and written communication abilities.
  • Professional demeanor with strong interpersonal and telephone etiquette skills.
  • Demonstrated ability to handle confidential matters with tact and discretion.
  • Problem-solving mindset and adaptability to changing priorities.
  • Knowledge of general office procedures including expense tracking, filing, and correspondence management.



Education:

High school diploma or GED required.

Bachelor’s degree preferred.
