Position Summary: This is a temporary position through April 2026 which may be extended dependent on business needs. Hybrid; onsite 2-3 days a week.
The Human Resources Administrative Assistant provides vital day-to-day administrative and operational support to the Human Resources Department. This position plays an integral role in maintaining the efficiency and organization of HR processes, ensuring compliance, and providing exceptional internal service to employees and candidates.
This role is ideal for someone who is organized, proactive, and eager to grow in all areas of HR - from recruiting coordination to employee relations.
Key Responsibilities: • Sort, log, and distribute HR mail; process incoming and outgoing correspondence and other sensitive documents. • Maintain employee personnel files (electronic and physical), ensuring accuracy, confidentiality, and compliance with retention policies. • Assist with HR data entry and updates in UKG, including onboarding, status changes, and training records. • Support HR projects such as audit preparation and process documentation.
Recruiting Coordination • Post open positions on job boards and internal platforms. • Screen resumes and assist in identifying qualified candidates. • Coordinate interview schedules between candidates and hiring managers. • Conduct reference checks and assist with pre-employment screening and onboarding tasks.
Onboarding & Training • Conduct New Hire Orientation (NHO) for all office hires, ensuring a welcoming and informative experience aligned with company culture and compliance requirements. • Track completion of onboarding forms, trainings, and compliance acknowledgments. • Partner with HR leadership to support UKG Learning module setup and other system-based training rollouts.
Employee Relations & HR Development • Learn and support employee relations best practices. • Maintain confidentiality and professionalism in handling sensitive matters.
HR Systems & Projects • Support the build-out and optimization of UKG HRIS modules, including document workflows, data accuracy, and reporting. • Participate in HR initiatives such as engagement surveys, training events, mentorship programs, and recognition activities. • Provide general HR support for department projects and cross-functional collaboration.
Qualifications • Education: High school diploma or equivalent required; Associate's or Bachelor's degree in Human Resources, Business Administration, or related field preferred, not required. • Experience: Minimum 1 year of administrative or HR support experience preferred.
