Job Summary

The Emergency Medicine Financial Assistant works to support all aspects of department‑wide projects as directed by department leadership. The Assistant will perform a variety of administrative support functions including scheduling of meetings, directing visitors, answering phone calls, sorting correspondence, preparing background materials, and filing documents. Incumbent must work with a high degree of confidentiality and possess strong word‑processing, grammar, editing, and proofreading skills. Must be able to maintain composure under stress and have strong interpersonal skills to professionally interact with all levels of employees and external constituents. Tasks will support finance, purchasing, clinical metrics, clinical research, and the residency and fellowship programs. Daily functions will include Purchasing, AggieBuy orders, Accounts Payable, and vendor invoices ensuring completeness, timeliness and compliance with Department and UC Policies and Procedures.

Minimum Qualifications

High school diploma, GED or equivalent experience and/or training

Experienced professional with financial and business experience processing.

Experience with purchasing, accounts payable, general accounting principles, and accounting databases.

Knowledge of accounting terms, principles, and internal control practices.

Knowledge of hiring/employment practices in California.

Excellent organizational and analytical skills to assume general assignments, coordinate a variety of tasks and functions, work around frequent interruptions, and adapt to changing priorities.

Communicate (orally and in writing) in a professional, clear, and concise manner.

Strong interpersonal skills to interact with a diverse group of people, including faculty, staff, students, and persons in leadership positions throughout UC Davis Health.

Attention to detail in reviewing and entering information to minimize mistakes or rerouting of transactions.

Excellent spreadsheet skills and strong mathematical skills to accurately calculate, manipulate, and evaluate budgetary and expense data.

Ability to apply financial concepts and human resources procedures to process financial and personnel transactions.

Ability to acquire a strong working knowledge of a variety of financial systems and reporting modules.

Ability to process transactions in accordance with departmental performance guidelines.

Preferred Qualifications

Administrative experience in an academic environment.

Working knowledge of UC Davis Finance and Business Systems (KFS, Kuali, FIS Decision Support, and UC Path Cognos)

Working knowledge of UC Davis Supply Chain Management Systems, Aggie Buy, Travel

Department Overview

The Department of Emergency Medicine is a clinical, research, and academic department within the UC Davis Health System with administrative departments in both the UC Davis School of Medicine (SOM) and the UC Davis Medical Center (UCDMC). The research responsibilities include the promotion and support of science, translational, and clinical research programs by the faculty members. The clinical mission includes the hospital Emergency Department that evaluates and treats over 70,000 patients as a Level 1 Trauma Center. Academic faculty members provide both clinical and didactic teaching of undergraduate students, medical students, residents, and fellows as part of the academic responsibilities of the Department. The School of Medicine Department consists of: 60 faculty, 70 volunteer clinical faculty, 13 clinical fellows, and 200 staff employees, including MSP physicians, junior specialists, student assistants, and career staff.
