The Role The Coordinator will execute logistics for pharmaceutical educational events, ensuring that commitments are met on schedule and within budget. This high‑volume, deadline‑driven role requires strong communication with internal and external stakeholders.
Hybrid role with required in‑office time Tue‑Thu.
What You’ll Do
Database management – manage promotional educational programs within the proprietary system
Budget management – assist customer representatives with their program planning budget and ensure compliance with customer business rules and guidelines
Select or confirm venue, menu, audiovisual, and transportation arrangements
Coordinate payments with venues, caterers, and other vendors
Maintain frequent communication with sales representatives and faculty as needed
Review all venue contracts for accuracy and customer compliance
Ensure all event materials are complete and accurate
Work closely with other team members to ensure successful event execution
Adhere to policies (confidentiality, sensitive communication, intellectual property)
Effectively manage a high volume of events while responding to emails and phone calls
Cover the after‑hours phone line 5 p.m.–midnight on a rotated basis
Requirements
High School diploma or equivalent; College degree preferred
1+ years experience in the field or related area (sales, hospitality, pharmaceutical, medical industry, customer service)
Pharmaceutical Speaker Bureau experience is a plus
Pharmaceutical Event Planning experience is a plus
Strong analytical and problem‑solving skills
Professional oral and written communication skills to manage high phone and email volume
Ability to work in a fast‑paced environment, multitask and adapt to changing priorities
Proficiency in MS Office, Word, Excel, and Gmail preferred

Base pay: $22–$28 per hour
This salary range reflects a potential base salary; actual salary may vary based on experience and location. The role may also include variable bonus or stock options.
