Our client, a private equity firm is seeking a dedicated Executive Assistant

Location: on‑site 5 days a week in office- Dallas, TX 75219.

Comp: 100‑125k base + discretionary bonus+ Offers Fully Paid Benefits

Key Responsibilities

  • Executive Support: Manage complex scheduling for the senior leadership team, including internal/external meetings, calls, and travel logistics.
  • Coordinate and prepare for board meetings, including agenda setting, presentation preparation, material distribution, and minute‑taking.
  • Anticipate the needs of senior leadership to ensure smooth day‑to‑day operations.
  • Handle select personal tasks for senior leadership (e.g., personal scheduling, travel, and errands) to free up time for strategic priorities.

Event & Off‑Site Planning

  • Lead planning and execution of leadership off‑sites, board meetings, annual CEO summits, and strategy sessions, including logistics, vendor coordination, and materials.
  • Manage logistics such as venue selection, accommodations, transportation, catering, and A/V needs.
  • Draft itineraries, briefing books, and event collateral.
  • Office Management: Oversee office operations, supplies, vendors, and facilities management.
  • Serve as point of contact for external service providers and building management.
  • Ensure a professional and welcoming office environment.
  • Communication & Coordination: Act as liaison between executives, portfolio companies, board members, external stakeholders, and affiliates.
  • At times, draft, review, and edit correspondence going out to company affiliates.
  • Serve as the company’s primary point of contact, creating a welcoming and professional first impression for all visitors.
  • Maintain confidentiality and professionalism in handling sensitive business and personal matters.

Qualifications

  • Bachelor’s degree or equivalent experience
  • Proficient in Microsoft Office suite
  • Experience in managing multiple priorities, administrative coordination, and logistics
  • Well‑organized, detail‑oriented, ability to multi‑task with great follow‑up skills
  • Strong written and verbal communication skills
