Overview We are seeking a detail-oriented, organized, and proactive

Office Administrator

to join our growing custom apparel business. The ideal candidate will thrive in a fast-paced, creative production environment and play a key role in coordinating daily operationsfrom managing customer orders to supporting our production and sales teams. Key Responsibilities Order Management: Enter and process sales orders accurately in our accounting software (e.g., Sage or similar). Review purchase orders, confirm details with customers, and coordinate order timelines with production. Track order status, follow up on approvals, and ensure timely completion and delivery. Administrative & Office Support: Handle phones, emails, and general correspondence with professionalism and attention to detail. Maintain organized digital and physical records of orders, invoices, and vendor documents. Assist with invoicing, payment tracking, and light bookkeeping support. Production Coordination: Communicate order details and deadlines to the production team (screen printing, embroidery, and fulfillment). Prepare production schedules and update them as orders evolve. Ensure all artwork and product information is accurate and available for each job. Customer Service: Act as a liaison between customers and internal teams, providing timely updates and resolving issues. Support walk-in customers and assist with product or order inquiries. Artwork & Marketing Support (Preferred): Assist with light artwork preparation (logos, proofs, layouts) using basic design software. Help manage digital content for online stores or customer portals when needed. Qualifications Previous experience in

office administration, order management, or production coordination

(preferably in a print, embroidery, or manufacturing environment). Strong organizational and multitasking skills with the ability to manage competing priorities. Proficient in Microsoft Office (Excel, Word, Outlook); experience with

Sage , QuickBooks, or similar software a plus. Excellent communication and customer service skills. Basic familiarity with artwork files (.ai, .pdf, .png, etc.) and an eye for detail.
