Overview Assistant Director, Graduate Program for Neuroscience (GPN) is a full-time position at Boston University responsible for overseeing daily administrative operations of the cross-campus training program, including financial management, event planning, student registration, recruitment, travel to national meetings, student advisory meetings with more than 60 students, and supervision of an Administrative Coordinator. The role reports to the Program Director and works with the Programs Executive Committee. The position requires strong organizational, financial, and operational skills and effective cross-cultural communication.

Responsibilities

General Program Administration & Oversight - Manage daily operations in alignment with program goals, university policies, registrar procedures, and Director leadership; supervise the Administrative Coordinator; organize and participate in Executive Committee and other governance meetings.

Financial Management - Budget oversight, financial planning, monitoring expenditures; generate internal/external reports; prepare financial projections and assist with resource allocation; interface with GPN T32 financial manager.

Student Support & Compliance - Monitor student registration across campuses to ensure degree requirements compliance; advise students on milestones and course requirements; manage stipend payments and ensure timely processing; maintain reporting tools and data summaries for training grant applications; oversee student organizations NGSO and CNSO and weekly GPN student seminar.

Grant & Reporting Support - Coordinate administrative components of training grant applications, prepare budget documents, tables, student outcome data, and submission logistics; interact with faculty on grant materials; compile data for progress reports and institutional reporting.

Communication with Proposal Development Office; Community Engagement & Events - Plan and execute major GPN events (annual neuroscience retreat, workshops, outreach, alumni gatherings); coordinate travel for students and Director; support national meetings presence and graduate recruitment; manage engagement through surveys and Town Hall representation.

Qualifications

Bachelor's degree required.

3-5 years of administrative experience in higher education, research, or related field.

Equivalent combination of relevant education and experience considered.

Demonstrated experience in program management, budgeting, and event coordination.

Strong interpersonal and cross-cultural communication skills.

Ability to multitask, work under pressure, and adapt to evolving program needs.

Experience with graduate education and NIH training grants strongly preferred.

Willingness to travel several times per year for national recruitment and program events.
