Summary: We are seeking a bilingual (English and Korean) Executive Administrative Assistant to provide administrative support for the organization's executives.This position will be responsible for acting as a gatekeeper for the organization's C-level executives, preparing briefings and reports for board meetings, coordinating between various C-level executives, and managing special projects on behalf of the executives. The role requires a blend of administrative proficiency, business acumen, and people skills.
Responsibilities: Maintains executive’s schedule by planning and scheduling meetings, conferences, teleconferences, and making travel arrangements, preparing and editing correspondence, presentations, and reports Work closely with the executives to keep them informed of upcoming commitments and responsibilities, following up appropriately. Maintains effective and professional verbal and written interactions with peers, executives, team leaders, and other staff Works independently and/or within a team on special projects at the request of the executives, planning and coordinating multiple presentations, events and meetings. Collects weekly status reports from team leaders and ensures effective communications across various teams and levels. Arrange, coordinate, and schedule meetings, conference room reservations and management, organizing team meetings, taking and distributing meeting minutes Voucher entries for vendor invoices, corporate credits, reimbursement request for Executives Manage and maintain Executives’ schedules, appointments and travel arrangements according to personal preferences Monitor, respond, and distribute incoming communications Serves as administrative liaison with external partner organizations. Receive and interact with incoming visitors as protocol dictates Collect data and create analysis based on Executive's request and needs. Performs all other duties as assign
Qualifications: Bachelor degree in business administration, or a related field Ability to effectively work in a high pressure, fast-paced environment Bilingual Korean/English required
Experience: 2+ years of experience working in a corporate setting as an executive assistant or administration required
Skills: Strong organizational skills Ability to prioritize multiple tasks seamlessly Excellent attention to detail skills Must have excellent communication, analytical and organizational skills Flexible hours – based on the need for meetings, projects, and other business operations. Advanced Microsoft Office skills
