The Project Administrator provides administrative and organizational support to the Senior Project Manager throughout all phases of tank projects. This role focuses exclusively on assisting with documentation, submittals, scheduling, correspondence, and tracking activities related to project execution. The position requires attention to detail, accuracy in recordkeeping, and effective communication between internal departments and vendors. Success in this role depends on efficiency, dependability, and the ability to manage time-sensitive administrative tasks in a fast-paced construction environment. Responsibilities

Support the Senior Project Manager with administrative tasks associated with project setup, execution, and closeout. Prepare and maintain project documentation including RFIs, submittals, transmittals, purchase orders, project tracking, and project completion documentation. Assist in compiling and updating project schedules, daily reports, and progress logs as directed. Track and organize correspondence with clients, vendors, and subcontractors. Help maintain and verify accurate records of material deliveries, job cost tracking sheets, and time reports. Coordinate and log subcontractor documentation, such as insurance certificates, W-9s, and safety submittals. Prepare meeting agendas, take meeting notes, and distribute follow-up action items. Assist with change order documentation, cost tracking, and report preparation under supervision of the Senior Project Manager. Maintain organized electronic and hard-copy project files to ensure accurate recordkeeping. Provide administrative support during project closeout, including final documentation, as-built records, and warranty files. Support procurement tracking and vendor communication as requested. Perform other administrative duties as assigned by the Senior Project Manager. Skills

Proficiency in Microsoft Office Suite (Excel, Word, Outlook, SharePoint). Strong organizational and document control skills with attention to detail. Ability to manage multiple administrative tasks and deadlines efficiently. Professional, dependable, and highly responsive to time-sensitive requests. Ability to work collaboratively with project managers, field superintendents, and office staff. Familiarity with construction terminology, forms, and documentation processes. Requirements

Minimum of 3 years of administrative support experience; construction industry preferred. College degree in Business Administration, Construction Management, or a related field preferred; equivalent combination of education and relevant experience will be considered. Proficiency with Microsoft Office Suite (Excel, Word, Outlook). Excellent communication and time management skills. Ability to work on-site Monday through Friday, with flexibility to meet project needs. Demonstrates confidentiality, reliability, and initiative in supporting project goals. Seniority level
