Facilities Coordinator – JLL
What this job involves: As a Facilities Coordinator at JLL, you will assist the Facilities Management Team with tactical planning while serving as a vital link in coordinating work requests, vendor management, and maintenance activities. This role requires strong organizational skills and attention to detail to ensure seamless execution of facility operations with minimal disruption to client environments. You'll play an essential part in advancing service quality and enhancing client partnerships through effective coordination between onsite teams, regional facilities staff, and service providers, directly contributing to JLL's commitment to operational excellence and client satisfaction.
What your day-to-day will look like:
Assist Facilities Management Team with tactical planning for team goals and objectives while supporting strategic initiatives
Receive and dispatch work requests to technical staff, vendors, and other service providers with accurate prioritization
Perform work order entry and monitoring while redirecting orders assigned to wrong vendors or locations
Request NTE (Not to Exceed) increases and approvals while maintaining budget compliance and cost control
Monitor work order SLA adherence to ensure timely completion and client satisfaction
Coordinate scheduling, follow-up, and satisfaction monitoring of maintenance activities across multiple locations
Coordinate with onsite and regional Facilities teams to advance service quality and enhance client partnerships
Provide information and direction to vendors, facilities staff, and service providers to ensure excellent coordination and execution
Required Qualifications:
2-4 years of professional experience in facilities coordination or related field
Understanding of work order systems and facility management processes
Strong attention to detail and organizational skills for managing multiple concurrent tasks
Customer service skills with ability to interact professionally with clients, vendors, and team members
Ability to work collaboratively in office environment 2 days per week for in-person coordination
Flexibility to support site visits as requested by leadership and clients
Strong communication skills for effective vendor and service provider coordination
Preferred Qualifications:
Experience with CMMS systems and work order management platforms
Knowledge of facilities management best practices and SLA monitoring
Experience coordinating with multiple stakeholders including vendors, technical staff, and service providers
Understanding of budget management and NTE approval processes
Customer service experience in facility management or related industry
Location: Hybrid (2 days in office required) – On-site – Santa Ana, CA
Estimated compensation for this position: 54,000.00 – 78,300.00 USD per year
