The Executive Assistant provides comprehensive executive administrative support, operational coordination, and project management to the Office of the Chief Financial Officer (OCFO). This role ensures smooth day-to-day operations, maintains alignment with organizational priorities, and delivers high-quality service across the organization. Acting as a liaison to both internal divisions and external partners, the Executive Assistant helps ensure the OCFO operates with efficiency, professionalism, and strategic coordination across the C-Suite offices. Essential Duties and Responsibilities

Executive Support: Manage complex calendars, prioritize meeting requests, coordinate events, and provide logistical support for meetings and travel. Track commitments, deadlines, and deliverables impacting the OCFO and staff. Operational Coordination: Serve as the primary administrative point of contact for the OCFO, ensuring efficient workflows, accurate communication, and seamless coordination within the division and across departments. Administrative Management: Maintain organized electronic and physical filing systems, manage division intranet materials, order supplies, prepare correspondence and reports, and handle confidential information with discretion. Budget and Financial Support: Assist with division budget planning, projections, and monthly reporting. Process invoices, purchase orders, and other financial obligations to ensure timely payments and compliance with corporate policies. Procurement Oversight: Coordinate procurement activities in accordance with NeighborWorks policies, including purchase card management, procurement requests, and vendor communication. Project and Task Tracking: Develop and maintain systems for tracking key OCFO initiatives, ensuring timely follow-up and accountability for deliverables. Meeting and Event Support: Plan and manage logistics for meetings and corporate events—including scheduling, room setup, audiovisual needs, catering, and material preparation. Communications and Correspondence: Draft, proofread, and format correspondence, memoranda, meeting minutes, and presentations for internal and external audiences. Secondary Duties and Responsibilities

Prepare and distribute meeting agendas, minutes, and related materials. Support responses to audit, board, or external document requests. Assist in preparing and organizing materials for Board and Committee meetings, providing backup support to the Board Liaison as needed. Stay current on technology and workflow management tools to improve efficiency. Provide occasional support at off-site meetings and events. Required Minimum Qualifications

Minimum of six (6) years of experience providing executive-level administrative or project management support in a fast-paced, deadline-driven environment. Proven ability to manage multiple priorities, maintain confidentiality, and meet deadlines consistently. Exceptional organizational skills and attention to detail. Strong ability to anticipate needs, think critically, and offer solutions proactively. Demonstrated professionalism and discretion when handling sensitive information. Experience managing and tracking budgets across departments or projects. Excellent written and verbal communication skills. Strong customer service orientation and ability to interact effectively with colleagues at all levels and from diverse backgrounds. Ability to work independently and collaboratively while managing competing priorities. Advanced proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint), SharePoint, and Microsoft Teams. Familiarity with database management and office technology systems. Working Conditions

Travel: Less than 5%. Physical/Sensory Demands: Fast-paced environment; frequent computer use; light lifting up to 25 lbs. Schedule: Occasional evening or weekend work may be required. Work Environment: Hybrid (requiring two days onsite). Salary Range

$80,000 - $90,000 The salary offered for the role will be based on a variety of factors, including geographic location, internal equity, and the candidate’s qualifications/professional experience. Equal Opportunity Employer
