Summary
Executive Administrative Assistant role at Chenega Professional Services Strategic Business Unit. The Executive Administrative Assistant will directly support the day-to-day operations of the Chief Data and Artificial Intelligence Officer (CDAO) and the Director of Technology Readiness, anticipating needs and relieving the executive of administrative functions to increase capacity for executive-level priorities. The assistant will interface with senior customer leadership, CIO leadership, PEO/aPEO portfolios, program offices, and stakeholders across partner organizations. Responsibilities
Appointments, Calendars, Schedule, and Customer Service: Schedule, coordinate, and prioritize appointments, meetings, and training initiatives for the CDAO and the Director of Technology Readiness; maintain awareness of their calendars and ensure alignment with enterprise priorities and cross-functional engagements; manage contact and stakeholder lists (including key IT vendors, federal partners, and internal technical teams); arrange in-person, virtual, or hybrid meetings, including those requiring secure or classified access protocols; adhere to internal meeting procedural guidance and specific protocols. Meeting Preparation and Assistance: Prepare briefing materials and pre-brief the CDAO and the Director of Technology Readiness; draft and distribute meeting agendas; reserve rooms or virtual platforms; notify participants; assist with laptop setup and configuration; attend meetings to take minutes, record action items, and track follow-ups; create PowerPoint presentations and visual aids; take and disseminate minutes from staff meetings and other strategic sessions; coordinate with senior leadership to ensure timely completion of action items. Mail, Correspondence, Reports, and Document Preparation: Screen incoming correspondence and directives for review; draft and manage correspondence including memos, executive summaries, and strategic communications; oversee tasking systems (e.g., MS Planner) for the CDAO and the Director of Technology Readiness; generate reports (budgetary, operational, weekly, statistical) including IT spend tracking and performance metrics; prepare forms and documents for office workflows for signature or digital approval. Internal and External Communications and General Support: Coordinate taskings and communications ensuring alignment with broader IT efforts; respond to inquiries on behalf of the executives maintaining professionalism and discretion; refer issues to appropriate staff; act as liaison between executives and internal/external stakeholders (including federal agencies, contractors, and enterprise IT teams); keep leadership informed of executive-level support activities; provide duties typically associated with Executive Assistants in high-level government or technical environments; complete other duties as assigned. Qualifications
Bachelor's degree in administration, business, or related field. Minimum of 3 years as an Executive Assistant for a high-level executive (at least two years of related work experience). Prior Federal experience preferred. Ability to obtain public trust/Secret Clearance. Salary
Estimated Salary/Wage: USD $100,000.00/Yr. Up to USD $115,000.00/Yr.
