Leasing Agent / Assistant Property Manager

Summary Under the supervision of the Residential Property Manager, this position requires daily interaction with a variety of people in a fast paced and dynamic work environment. Success is demonstrated by showing a commitment to customer service and resident satisfaction, while helping people find and stay in their perfect home. This role is meant to grow into a full-time Assistant Property Manager with the authority, responsibility, and accountability to plan, implement, and monitor business operations of our residential portfolio.
Core Leasing Responsibilities
Meet and greet prospective residents and vendors in a professional and enthusiastic manner.
Qualify residential prospects by determining their needs, eligibility, and desirability.
Utilize telephone and leasing techniques designated by White Lotus Group, always conforming to Fair Housing regulations.
Properly record information regarding prospective resident visits and follow up on qualified leads.
Tour apartment community and vacant apartments with clients and have specific and current knowledge of apartment specifications, vacancies, notices, and rental rates.
Have a thorough understanding of application criteria, lease paperwork, rent collection, and move-in/move-out procedures and be able to explain these items to existing and prospective residents.
Review applications prior to submitting them to the Property Manager for approval.
Manage tenant move-in/move-outs to include certificates of insurance, signage, move management, closeout, and inspection.
Arrange, coordinate, and attend new tenant orientation meetings to review tenant welcome package, move-in requirements, general property information, rules & regulations etc.
Post all applicable notices.
Respond to all resident/condo owner requests and concerns in an efficient and courteous manner.
Respond to site emergencies when applicable and participate in company emergency response protocol.
Prepare, maintain, and submit all administrative forms, files, and reports in an accurate, organized, and punctual manner.
Maintain a positive attitude, professional appearance, and courteous disposition.
Fully understand and comply with White Lotus Group policies and procedures.
Core Assistant Property Manager Responsibilities
Communicate with Residential Property Manager regarding any topics discussed and action items.
Assist Marketing Director in posting available units to social media.
Regularly inspect tenant space, common areas, base building areas and grounds to ensure a high level of maintenance, regularly interfacing with internal staff and vendors to maintain same.
Coordinate with external contractors (i.e. janitorial, security, etc.) and internal departments (i.e. engineering, accounting, leasing and construction, etc.) to ensure seamless and cost-effective customer service is delivered.
Work with the construction department, including attendance at tenant improvement meetings and scheduling shutdowns of building services (e.g., electricity, water, HVAC) to avoid delays of landlord work.
Creating and implementing marketing and leasing plans.
Maintain a working knowledge of Company databases and information/reporting tools.
Experience Required
Customer service and interpersonal skills needed to meet with prospective and current tenants.
Prior leasing experience.
Familiarity with Fair Housing regulations.
Microsoft 365.
Financial reporting, invoicing, billing.
Contract and purchase order execution + contractor experience.
Attention to detail, organization, and the ability to multitask efficiently.
Experience Preferred (but not Required)
Yardi Voyager experience preferred.
Residential or commercial property management experience preferred.
Base Pay $45,000.00 - $55,000.00 per year
