Created in 1933, the Georgia Municipal Association (GMA) is the only state organization that represents municipal governments in Georgia. Based in Atlanta, GMA is a voluntary, non-profit organization that provides legislative advocacy, educational, employee benefit and technical consulting services to its members. This position provides comprehensive support for GMA and six local government professional associations, including coordination of conferences, meetings, sponsorships, exhibitor management and related activities. The role also provides administrative support to the Conference & Management Services Department and the six affiliated associations. ESSENTIAL FUNCTIONS Conference Duties Build and manage registration sites for GMA and six local government professional associations. Coordinate housing arrangements for conference attendees and staff. Manage multiple departmental email accounts; respond promptly to inquiries and provide guidance to registrants. Process registrations, special requests, cancellations and refunds in accordance with policy. Generate and distribute invoices, manage billing, payment processing and follow-up on outstanding receivables. Support mobile app setup and content updates. Assist with speaker coordination and sponsor fulfillment requirements. Exhibitor Duties Manage online registration systems for tradeshows and exhibitor participation. Process exhibitor registrations, cancellations, and refunds according to policy. Prepare invoices, process payments and maintain accurate financial records. Provide responsive customer service and support to exhibitors throughout the registration process. Request, track and file exhibitor Certificates of Insurance. Conference Preparation Prepare materials for GMA and association conferences, including name badges, lanyards, ribbons, signage, name tents, awards and printed collateral. Coordinate technology needs such as badge printers, laptops and software setup. Organize and track event shipments. On-Site Support Coordinate on-site registration for GMA and association conferences and events. Provide operational support during conferences to ensure a seamless attendee experience. Administrative Support Perform general administrative and clerical tasks, including drafting correspondence and preparing reports Process trainer expense reports and vendor invoices for supplies and materials. Prepare and submit certification and membership applications. Maintain office supplies, inventory and departmental databases. Update and maintain contact lists and other key administrative records. MINIMUM QUALIFICATIONS At least two years of experience in conference registration and/or association operations. Valid Driver's License TRAVEL REQUIRED This position requires travel to our two annual conferences and up to 27 other meetings and conferences each year. Travel periods may span up to 5 consecutive days per event. Seniority level
