The program supports fellowship operations within the Department of Pediatrics and collaborates with the Fellowship Program Manager, Fellowship Program Directors, Director of Education and Academic Affairs, and Vice Chair for Education. Job Responsibilities

Coordination of Medical Education – Prepare and facilitate requirements of fellowships approved and authorized by the Accreditation for Continuing Graduate Medical Education (ACGME). Set up and maintain documentation and complex records for the Program Director; maintain an organized, up-to-date filing system for prompt retrieval. Complete filing accurately and promptly; maintain information for the Medical Education office in accordance with Departmental NYU School of Medicine regulations. Collaborate with team members to ensure smooth functioning of Medical Education; provide occasional coverage for office personnel; participate in team meetings and decision making. Facilitate reimbursements; prepare and process Purchase Requisitions, Check Requests, IOIs and related invoices in compliance with the Business Expense Policy. Prepare and update the academic calendar for the program; maintain compliance with the American Board of Pediatrics. Ensure all support functions for the Program Director are completed daily; plan and coordinate interrelated activities; handle confidential matters with discretion and urgency; screen and disseminate communications; coordinate with other departments and respond promptly to inquiries. Prepare materials using computer programs and education portals including New Innovations, WEBAds, and other sites. Provide administrative support to the Program Directors to facilitate efficient operation of the Medical Education office. Assist faculty in preparing letters of recommendation for current and past participants; submit invoices and receipts for program expenditures for budget monitoring. Coordinate communication, IT, and other issues for trainees in partnership with the Program Director. Maintain a supportive learning environment; oversee the National Residency Match Program and web-based House staff evaluation process. Prepare credentialing for fellows in assigned programs and other programs as needed. Serve as the primary contact for the School of Medicine GME office for assigned programs to ensure a coordinated, well-integrated program. Perform other duties as assigned. Minimum Qualifications

BA Degree plus 2-3 years of responsible office administration experience, or equivalent combination of education and experience; excellent communication, interpersonal, computer and organizational skills. Preferred Qualifications

2-3 years experience supporting graduate medical education programs as a residency coordinator or fellowship coordinator. Qualified candidates must be able to effectively communicate with all levels of the organization.
