Summary Thompson Houston is seeking a proactive, highly organized Sales & Event Coordinator who provides administrative support to a high-producing team of Sales and Event Managers and Directors. This role requires excellent customer service, strong multitasking abilities, and the capacity to learn new computer programs quickly.

Job Description The Sales & Events Coordinator is a key support role within the Sales, Marketing + Events Team. This position requires a motivated individual who thrives in a fast-paced environment, demonstrates initiative, and can multitask to complete projects on time. The role provides administrative support to Sales and Event Managers and Directors and requires exceptional customer service and problem-solving skills.

Responsibilities include supporting Sales and Catering Managers and Directors with administrative duties, managing inquiries, site tours, proposal and presentation preparation, account management, and timely client follow-up. The coordinator will assist with event coordination, manage departmental expenses, and maintain organized filing systems and communication tools. The role serves as a liaison between Sales, Events, Clients, and other departments to ensure seamless event execution. It reports to the Director of Sales & Marketing and the Director of Catering & Special Events.

Responsibilities & Duties

Develop a thorough understanding of hotel operations, services, and policies

Maintain professionalism, visibility, and integrity of the Sales, Marketing + Events Department

Respond to and manage leads, RFPs, meeting planner questions, and reservation inquiries

Communicate with clients on behalf of Sales and Event Managers and provide timely updates

Coordinate Event Orders (EOs) and ensure updates are entered in Envision

Collect and confirm final head counts and event details; verify payments and final balances are received prior to event execution; update Envision

Monitor Envision for financial tracking, deposits, final payments, and reconciliation; collaborate with accounting on deposits, final payments, and commission tracking

Organize event/order binders and related materials

Coordinate event needs with food & beverage and operations departments

Prepare and customize proposals, contracts, site alerts, and sales documents

Ensure sales collateral is current and adequately stocked

Oversee ordering and inventory of sales amenities and office supplies

Support coordination and delivery of welcome amenities and handwritten notecards

Adhere to contracts for key due dates and minimums

Detail and communicate Event Orders, floorplans, and timelines with clients and internal teams

Greet clients and assist with site tours, client visits, and on-property events as needed

Manage group room blocks, rooming lists, reservations, and online booking links with Reservations

Communicate upcoming group/event details with all departments in a timely manner

Oversee deposits, financial reconciliation, and invoicing; track revenue-related tasks

Collaborate with Sales, Marketing, and Events to enhance team productivity

Assist in travel, tradeshows, and client site visits

Manage key reporting tasks such as revenue tracking, lead logs, expense reports, and data analysis

Execute turnover process for Group and Catering contracts using a formal turnover checklist

Provide proactive support and communication to the Sales, Marketing, and Events Team

Perform other duties as requested by the Directors of Sales or Catering

Qualifications

Passion for delivering exceptional service in a dynamic, fast-paced environment

Excellent verbal and written communication skills

Proficient with Microsoft Office and other computer applications

Experience with Envision Sales, Social Tables, and Opera preferred

Highly organized with strong analytical and interpersonal skills

Proven ability to problem-solve, prioritize tasks and deadlines, and manage time effectively

Flexibility to work weekends, nights, and/or holidays

Two years of experience in hotels or events preferred

Bachelor’s degree preferred

Knowledge of event processes including food & beverage service, menu planning, setup, and pricing

Ability to analyze activities and information to draw logical conclusions
