Reporting to the Senior Director of Operations, the Administrative Assistant provides critical support for both Presidents, managing calendars, travel, and expenses. The role also oversees member data management, training program administration, and coordination of office operations. This position plays a key role in supporting membership efforts, delivering member-valued services, and ensuring smooth daily operations. The Administrative Assistant must be able to organize and prioritize multiple tasks, work effectively in a fast-paced environment, and consistently make sound, high-quality decisions.
DUTIES AND RESPONSIBILITIES:
Responsibilities
Executive Support: Manage calendars, travel arrangements, and expense reporting for both Presidents. Coordinate special projects as assigned by the Senior Director of Operations and Executive Leadership. Membership & Data Management: Enter new member applications into association management software and maintain membership database accuracy, including the online directory. Maintain and update email distribution lists. Program Administration: Administrative support of technical training program SecureWell. Office Operations: Oversee office operations, including inventory management and ordering supplies. Provide general administrative support as needed. Experience and Education
Strong computer skills, including proficiency with Microsoft Office Suite (Outlook, Word, Excel, and PowerPoint). Ability to manage multiple projects effectively and professionally. Strong organizational, communication, and project management skills. Proven ability to interact with staff at all levels in a fast-paced environment. Proactive, resourceful, and efficient with a high level of professionalism and confidentiality. Background check and drug test required. ENERGY WORKFORCE SHARED VALUES
