Overview

The Senior Administrative Coordinator is a dynamic role that requires experience in administrative support at Regeneron. The Senior Administrative Coordinator will support Vice President(s) and departmental leadership teams that oversee Clinical Trial Management and Global Clinical Operations, providing proficient calendar management with limited guidance, travel and associated logistics to ensure leaders and teams can effectively carry out day-to-day objectives. The incumbent may also support team event planning, ordering department supplies, and/or additional clients in a professional, collaborative and efficient manner. Proficiency in Word applications, Concur, and the ability to learn new technologies is expected. Responsibilities

Proactively manages calendars with an understanding of the priorities of those they support. Anticipates the needs of leaders and teams to manage and problem-solve related logistics. Acts as the point person for coordinating logistics of internal/external meetings and seminars; may collaborate with Strategic Sourcing and Procurement to manage and negotiate contracts for off-site meetings and manage meeting/event budgets within approval limits. Coordinates team events such as team buildings and town halls; prepares agendas and coordinates final slides for distribution; makes catering recommendations for meetings/events scheduled over meal periods. Assists employees and guests with travel and expense reports and ordering team lunches where applicable. Demonstrates understanding of company policies and resources and can advise team members as needed. Manages department contact lists/org charts; creates and maintains pivot tables, dashboards and reports where applicable; updates content on department SharePoint sites and/or internal pages with proper permissions and version control. Anticipates and coordinates office supplies to maintain budgets; submits requisitions and tracks department purchase orders; may coordinate broader department expenses. Acts as a point person for new employees within the department, coordinating with IT, Facilities, and Procurement; coordinates with space planning for new hires or other space needs. Coordinates multiple administrative workflows within the department to streamline increasingly complex processes; makes recommendations for solutions. Drafts and distributes communications, announcements, and updates as needed. Assists with preparing presentations, reports, agendas and minutes and monitors follow-up for timely execution of action items. May be involved in ad-hoc departmental projects and training of new employees on internal systems. Provides backup support and coverage for other administrative coordinators. All other duties as assigned. Qualifications

Minimum of an Associate’s degree required; Bachelor’s degree preferred. 5+ years of administrative experience with 2+ years in pharma/biotech industry desirable. Strong collaboration and communication skills across all levels; ability to maintain confidentiality and attention to detail. Proficient in MS Office, SharePoint, Concur and teleconference systems with basic troubleshooting abilities. Does this sound like you?
