While based at home in Sydney, ZIMMERMANN present their ready‑to‑wear collections each season at Paris Fashion Week. Working with the highly acclaimed designer and long‑time collaborator, Don McQualter, ZIMMERMANN maintains a number of stand‑alone stores across Australia, UK & Europe, China, The US, and the Middle East.

Position Purpose An exciting opportunity exists for an experienced Wholesale Operations Coordinator to join our growing Wholesale Team in our New York City Head Office.

The Wholesale Operations Coordinator will coordinate the administration and dispatch of all US Zimmermann wholesale product for specialty accounts, brining optimism, strong attention to detail, and sophistication in everything they do.

Key Responsibilities Sales Market/Order Entry Period

Cross-check seasonal orders placed at market against internal records to ensure accuracy before production

Manage and update the US sales batch, ensuring all data is accurate and timely

Maintain accurate and up‑to‑date customer records, including contact information and shipping addresses, to support smooth operational processes

Generate and distribute order confirmations and proforma invoices for US wholesale accounts in a timely and professional manner

Receive and cross‑check purchase orders (POs) to verify accuracy against internal records

Warehouse Management/Despatch

Manage operations across two local warehouses located in California and Pennsylvania

Monitor inbound air freights and ensure warehouse is receiving shipments within SLA

Provide imports for inbound shipments to CA 3PL

Monitor integration for inbound shipments to Savino PA, ensuring successful data flow and completion at each stage of the inbound and outbound process

Monitor customer payments and manage the release of orders from the 3PL warehouse

Ensure efficient inventory handling, order fulfillment, and communication with warehouse teams

Track, monitor, and follow up on deliveries to ensure timely and accurate shipment to customers

Track warehouse SLA performance and issue chargebacks for non‑compliance

Quarterly warehouse visits to the warehouse

In Season Tasks

Issue proforma invoices, final invoices, and credit notes to wholesale accounts

Providing tracking information to Wholesale accounts

Update and maintain seasonal delivery schedules

Monitor and process inventory re‑orders and RTV’s

Monitor and communicate and record production delays and cancelations

Manage repairs and write offs with 3PL

Provide regular updates to the US Sales Team and VP on SPS operations by maintaining and updating the US Shipping Status Report throughout the season.

Manage inter‑company transfer at US warehouse

Fulfil uniform orders for brand ambassadors quarterly

General

Partake in bi‑yearly stock takes and conduct investigations

Assist with bi‑yearly sample sales and faulty sales

Maintain manuals (3PL manuals, customer manuals and internal manuals)

Assist AR team with short payments/chargebacks

Assist the Wholesale Operations Manager with day‑to‑day tasks (EDI management, PO cross checking, catalog management)

About you

1‑2 years of experience in a similar role

Excellent organizational skills and problem‑solving ability

High attention to detail

Ability to multi‑task and prioritize

Effective communication and customer service skills

Ability to work independently and as part of a team

Knowledge of the relevant functions of AP21 or equivalent ERP system

A thorough knowledge of MS Excel

Experience in EDI is a plus

Excellent organisation skills and high attention to detail.
