Overview

Under the operational direction of the Contract Management and Chief Legal Counsel units, the incumbent will serve as administrative and coordinator support across projects including contract management, filing, routing contracts for signature, responding to contract inquiries from Business Managers and contracting partners, and other administrative and financial tasks. The role requires confidentiality, accountability, and effective communication, with the ability to prioritize, delegate when appropriate, and work in a fast-paced and dynamic environment. Responsibilities Contract Management:

Learns under the guidance of senior team members, provides administrative support to the Contract Management Team, and assists with daily operations. Manages contract lifecycle activities including routing, tracking in LSUHSC-NO contract databases, and distributing contracts between LSUHSC-NO schools, departments, and other agencies to obtain required signatures. Maintains confidentiality, discretion, accountability, written and verbal communication skills.

General Counsel Support:

Reads, researches, reviews, verifies, and routes correspondence, reports, and legal documents; drafts letters and documents; collects and analyzes information; initiates telecommunications; coordinates client conferences and attorney meetings; arranges court reporters, expert witnesses, and other special functions. Maintains client confidentiality and coordinates public records requests and notary services appointments.

Department Coordination:

Provides multi-departmental administrative support, including creating and fulfilling purchase requests, scheduling travel, submitting travel reimbursements, and maintaining expense documentation. Assists with scheduling and responding to inquiries from faculty, staff, and students. Serves as designated alternate when lead is unavailable.

Minimum Requirements Bachelor's in Business Administration, Management, Finance, Legal Studies or related degree.

Two years of experience as Administrative Assistant, Department Coordinator, or a related role.
