Responsibilities

  • Provide administrative support to the Senior Administrative Assistant, including calendar management, meeting preparation, and special projects
  • Serve as a secondary point of contact for staff, vendors, and visitors
  • Draft, edit, and distribute internal communications, reports, and other documents
  • Maintain organized filing systems (electronic and paper)
  • Support scheduling and coordination/cleanup of meetings, events, and training sessions
  • Assist with office supply management and vendor coordination
  • Track and process expense reports, purchase orders, and invoices
  • Record and distribute meeting minutes and post meeting task lists as needed for the following meetings (subject to change):
  • Quarterly ER meetings
  • Quarterly ICU meetings
  • Monthly Shift Lead meetings
  • Deputy meetings
  • Reserve rooms, set up AV equipment, provide refreshments, and handle post-meeting cleanup
  • Develop and maintain the organization’s annual meeting calendar
  • Handle confidential information with discretion and professionalism
  • Carry out independent administrative tasks and projects assigned by leadership
  • Provide general office support and backup coverage when needed

Special Projects & Organizational Initiatives

  • Lead or support annual and special projects including CSR Week, Tech Week, CAREVersary, Volunteer Projects, Doctor Retreats and Virtual Happy Hour Rounds, Holiday Events and Doctor Appreciation Gifts, Doctor Recruiting Packages and GROSS Box, and staff birthday/anniversary cards

Requirements

  • Prior experience in office management or administrative roles
  • Exceptional organizational and multitasking skills
  • Strong written and verbal communication abilities
  • High attention to detail and confidentiality
  • Proficiency in Microsoft Office Suite, Google Workspace, and virtual meeting platforms
  • Ability to manage projects and timelines independently
  • Professional demeanor and proactive problem-solving skills

Education and Experience

  • High School Diploma

Physical Requirements

  • Prolonged periods of sitting at a desk and working on a computer
