Secretary 4- Special Services Team Support Secretary — Gresham-Barlow School District 10J. TheSecretary 4 role assists assigned school teams (teachers, psychologists, speech pathologists, specialists, counselors, etc.) in managing meetings, parent communications, student records and other information necessary for the operation of special services programs. The position conveys information regarding school and/or District functions and procedures and ensures compliance with state and federal requirements.

Responsibilities

  • Assist the Special Services Team with managing meetings, parent communications, and student records.
  • Convey information about school and district procedures and ensure compliance with laws and regulations.
  • Coordinate referrals and ensure case managers are assigned according to team decisions.
  • Process documents and materials (schedules, agendas, mail) to disseminate information to appropriate parties.
  • Schedule Special Education meetings and notify involved parties according to procedures.
  • Respond to inquiries from staff, the public, parents, and students to provide information or directions as required.
  • Order supplies and materials as requested.
  • Monitor activities and program components for compliance with financial, legal and administrative requirements.
  • Maintain permanent records for special services students and enter data in student information systems and related programs (e.g., IEP data).
  • Prepare documents for administrators and district staff, and communicate information to various stakeholders.
  • Evaluate situations and direct them to appropriate personnel for resolution.
  • Collect data and compile reports; research and update files and databases; locate information for staff and students.

Qualifications

  • Education/Experience: High school diploma or equivalent; prior job-related experience in special services with increasing responsibility.
  • Licenses/Certifications: Criminal Justice Fingerprint Clearance and current First Aid/CPR Card.
  • Knowledge: Rules and regulations related to processes and procedures; customer service principles and methods.
  • Skills: Proficient with computers and internet-based applications; effective English communication (verbal and written); ability to handle confidential information; ability to follow verbal and written instructions; self-starter capable of working independently or in a team; strong prioritization and multi-tasking; ability to interact with diverse age groups and cultural backgrounds.

Other Job Functions

  • Cross-train in GBSD functions and assist other personnel as needed.
  • Prepare written materials (brochures, flyers) for school/district communications.
  • Support district relations with the public through courteous and cooperative interaction with visitors and staff.
  • Other duties as assigned by supervisor.

Physical Requirements

  • Ability to sit, stand or walk for prolonged periods; ability to talk and hear in potentially noisy environments.
  • Fine motor control for typing; ability to reach and handle objects; use of vision for computer work.
  • Regularly focus on a computer screen; lifting up to 40 pounds may be required occasionally.

  • Maintain regular and punctual attendance and follow absence reporting protocols.
  • Dress professionally; maintain confidentiality regarding staff, students and parents.
  • Exercise prudent judgment and work independently in routine duties.
  • Follow all District policies and procedures; participate in required meetings and trainings.
  • If bilingual, interpret or translate as required; foster a respectful working and learning environment.
