A respected law firm in San Diego, CA is seeking a temporary Legal Secretary with strong litigation experience. This position provides administrative and legal support to a minimum of four (4) attorneys. Key responsibilities include docketing, scheduling appointments and travel, coordinating depositions and meetings, filing and serving documents in both state and federal courts, preparing legal documents, opening new matters, and assisting with financial-related tasks. Responsibilities

  • Prepare and revise correspondence, pleadings, discovery materials, and arbitration/mediation documents for state and federal matters.
  • Maintain and review attorney calendars, ensuring awareness of filing deadlines and court dates.
  • Prepare notebooks and proofread legal documents for accuracy.
  • Run conflict checks and open new client matters in coordination with the firm’s business intake process.
  • Track the status of active cases and projects for assigned attorneys.
  • Manage confidential, time-sensitive materials with discretion.
  • Perform additional administrative and legal support duties as needed.

Qualifications

  • Minimum of 5 years of experience as a legal secretary, preferably in litigation.
  • Strong understanding of legal terminology and procedures.
  • Proficiency with ECF and California state e-filing systems.
  • Experience using document management systems (iManage or similar).
  • Proficiency in Microsoft Word and Outlook within a Windows environment.
  • Familiarity with state and federal court rules and filing procedures.
  • Experience supporting four or more attorneys simultaneously is preferred.
  • Trial preparation experience is a plus.
  • Excellent verbal and written communication skills, proofreading accuracy, and attention to detail.
  • Ability to manage multiple tasks while meeting deadlines and maintaining high-quality work.
  • Strong interpersonal skills and the ability to work effectively in a fast-paced team environment.
  • Reliable attendance and professionalism required.
  • Associate’s or bachelor’s degree preferred; equivalent experience will be considered.
