Position Highlights

  • This is a year-round on-site position
  • Full Time, first shift, 40 hours per week
  • Schedule: Monday – Friday, 7:00 AM - 3:30 PM

The Role

This position will support the school Principal, and is accountable for independently performing a full range of secretarial support functions requiring an understanding of organizational policies and procedures.

Through exemplary trade and academic programming, CTECS prepares trade-bound students to meet the skilled workforce needs in Connecticut. For over 100 years, the Connecticut Technical Education and Career System (CTECS) has been the leading force in Career Technical Education (CTE) in the State of Connecticut; preparing students to meet the skilled workforce needs of employers. CTECS operates 17 diploma-granting technical high schools, one technical education center, and two airframe mechanics and aircraft maintenance programs. CTECS serves approximately 11,200 full-time high school students across 31 in-demand CTE programs, providing hands-on training in state-of-the-art classrooms designed to mirror real-world workplaces. Students follow a unique schedule alternating between career and technical education and traditional academics, ensuring they graduate with the knowledge and skills needed for success. Graduates earn a Connecticut high school diploma, CTE certificate in their field of study, and multiple stackable credentials giving them the “competitive edge.” These credentials include but are not limited to state occupational licensure, national technical skill competency certifications, and industry-recognized credentialing. Many students secure job placements before graduation, while others continue their education at colleges, universities, or registered apprenticeships.

Purpose of job class (Nature of work)

In a state agency this class is accountable for independently performing a full range of secretarial support functions requiring an understanding of organizational policies and procedures.

Examples of duties

Performs a variety of secretarial duties as described in the following areas:

  • TYPING: Using computers, formats and types a full range of correspondence, reports, etc.; proofreads for content; edits for grammar, punctuation and spelling.
  • FILING: Designs filing systems; organizes and maintains files; maintains reference materials.
  • CORRESPONDENCE: Composes letters and memoranda for supervisor's signature.
  • REPORT WRITING: Compiles information and prepares reports; exercises judgment in item selection.
  • INTERPERSONAL: Greets visitors, answers phones, provides policy guidance, coordinates with internal/external stakeholders.
  • PROCESSING: Screens materials to determine action; may make recommendations.
  • SECRETARY: Arranges meetings, prepares materials, takes notes, prepares expense accounts, makes travel arrangements.
  • OFFICE MANAGEMENT: Maintains inventory, orders supplies, processes purchasing, maintains time/attendance records, assists in budgeting, designs forms.

KNOWLEDGE, SKILL AND ABILITY

  • Considerable knowledge of office systems and procedures; grammar, punctuation and spelling.
  • Knowledge of business communications and policy procedures; business math.
  • Interpersonal, oral and written communication skills.
  • Ability to schedule and prioritize workflow; operate office equipment and software; take notes.

Minimum Qualifications - General Experience
Three (3) years of experience above the routine clerk level in office support or secretarial work.

Minimum Qualifications - Special Experience
One (1) year of the General Experience must have been as a Secretary 1 or its equivalent.

Minimum Qualifications - Substitutions Allowed
College training in the secretarial sciences may be substituted for the General Experience on a 15 semester hours equals 1/2 year basis, up to 2 years.

Preferred Qualifications

  • Experience working in a school setting
  • Experience with Microsoft Office Suite and Google Platforms
  • Experience in customer service, front desk reception, or office management
  • Experience taking initiative, problem-solving, and streamlining office procedures
  • Experience generating reports from PowerSchool or other educational management systems
