The Planning and Development Department (PDD) guides the physical development of the city by preserving historic sites, planning what can be built where, and ensuring safe construction of buildings and infrastructure. The process is governed through development and enforcement of city codes and ordinances.
Position Details
The Planning & Development Department (PDD) is currently hiring a Secretary III to join its team. This role is based in the Director's Office and serves as administrative support for the Deputy Director of Planning and the Planning division. Key responsibilities include preparing various weekly and monthly reports and assisting with Formal City Council operations. Additionally, the Secretary III provides clerical support to the Deputy Director of Growth, Infrastructure and Special Projects, as well as the Historic Preservation Officer. General office duties include greeting and assisting walk-in visitors, managing office equipment, and coordinating supply orders. This position reports to the Planning Division's Management Assistant II. Standard work hours are Monday through Friday, 8:00 a.m. to 5:00 p.m.
Responsibilities
- Ability to learn quickly, multitask well, prioritize effectively and support Middle Managers and/or Executive level staff with effective communication skills.
- Ability to work in a fast-paced environment with multiple deadlines.
- Ability to handle multiple and conflicting work priorities.
- Advance proficiency in Word, Excel, and PowerPoint.
- Excellent customer service skills.
Minimum Qualifications
- Three years of progressively responsible secretarial experience, including training in typing and the use of modern office software and equipment.
- Other combinations of experience and education which meet the minimum requirements may be substituted.

Preferred Qualifications
- Experience proofreading and editing documents for spelling, grammar and format.
- Experience supporting Director level/executive management staff.
- Public hearing experience, including assistance or preparation.
- Supporting formal public and/or board meetings.
- Experience creating weekly/monthly reports.
- Experience working for a municipality.
- Experience scheduling meetings or trainings.
- Experience ordering supplies.
- Legistar experience.
- Bilingual fluency preferred.
Salary and Benefits
- Pay Range: $20.02 to $29.58 per hour.
- Hiring Range: $20.02 to $26.83 per hour.
