About the Role Our client, a global professional services firm, is seeking an Office Services Administrator to support their Chicago office on a temporary basis to cover a leave of absence. This individual will sit within the Office Services team and play a hands‑on role in keeping daily operations running smoothly — from managing mailroom activities to assisting with catering, meeting room setups, and overall space organization.
This position offers an excellent opportunity to gain corporate experience within a highly regarded, polished firm. For the right individual, there is potential for the role to become permanent.
Key Responsibilities
Mailroom Support:
Handle all shipping, receiving, and scanning of packages; notify colleagues upon arrival and maintain mailroom organization.
Supply Management:
Order, stock, and distribute office supplies.
Pantry Support:
Assist with ordering and distributing kitchen and pantry items; maintain coffee machines and related equipment.
Friday Lunch Operations:
Support setup, service, and cleanup for weekly office lunches alongside the broader team.
Meeting Room Support:
Set up, break down, and organize conference rooms to ensure readiness for meetings and events.
Catering Support:
Receive catering deliveries, assist with setup and teardown, and support general event logistics.
Space Management:
Maintain overall organization of office spaces, open seating areas, and shared environments.
Other Duties as Assigned:
Provide additional operational or administrative support as needed.
Qualifications
1–2 years of experience in administrative, office operations, or facilities support roles preferred.
Background in a corporate or professional services setting strongly preferred.
No degree required; associate’s or bachelor’s a plus.
Excellent communication, organizational, and multitasking skills.
Demonstrated professionalism, polish, and service‑oriented mindset.
Proactive and flexible – able to adapt to changing daily needs and jump in where needed.
Comfortable being on your feet throughout the day and assisting with hands‑on office tasks.
Hours:
7:00 AM–4:00 PM, Monday–Friday (occasional voluntary overtime ~2× per month).
Status:
Non‑exempt (OT eligible).
Office Closure:
Closed December 22–January 5 and Thanksgiving Thursday/Friday (unpaid for temporary staff).
Team:
Join a collaborative 7‑person Office Services team supporting a 3‑floor, 98K sq. ft. Chicago office.
Reports To:
Office Services Manager, with oversight from the Regional Manager of Operations.
