CLASSIFICATION:
Temporary, full‑time, non‑exempt (hourly) position with limited benefits including paid sick leave, free parking, and complimentary tickets to Playhouse performances
COMPENSATION:
$22.00 per hour
SCHEDULE:
Full time within office hours (Mon‑Fri 9:00 a.m.–5:30 p.m.) with occasional evening/weekend hours as needed, up to 40 hours per week
POSITION END DATE:
July 31, 2026 (potential option to extend)
About the Position Based at La Jolla Playhouse’s administrative offices and under the guidance of the Associate Director of Sales and Marketing, the Marketing Assistant will work on campaigns for our season of six mainstage shows each year, the WOW Festival and other events and programs. The role involves coordinating and completing projects from conception to launch, supporting the department’s marketing and sales functions, and maintaining high standards of accuracy and detail in a busy environment. Strong organization, flexibility, and a positive attitude are essential; the position interfaces with Patron Services, Production, Artistic, Philanthropy, and Learning & Engagement.
Essential Job Duties Marketing Campaigns
Assist with and coordinate the briefing and production of creative campaign assets and collateral, including brochures, rack cards, print ads, venue signage, digital display ads, and more.
Gain understanding of brand guidelines, proofread assets, and review designs for quality control and consistency.
Route assets for approvals, collate changes and ensure proper signoff from internal teams.
Source quotes from multiple suppliers to ensure effective budgeting, quality and attentiveness to timelines/deadlines and coordinate print process with printers.
Work closely with the Associate Director of Sales and Marketing to understand and deliver on the advertising schedule and ensure assets are delivered on time.
Coordinate student outreach efforts and campaigns.
Distribute print and digital marketing assets, liaising with internal and external stakeholders to ensure all deadlines are met.
Collaborate on content creation projects and assist in creating video, photo and written content for the Playhouse’s communication channels.
Coordinate front‑of‑house displays and signage at our theatres and ensure delivery of assets on time.
Maintain detailed records of projects and timelines to ensure internal records are correct and future‑proofed.
Maintain organization of internal asset files and keep the archives accurate and up to date at all times.
Collaborate in creative planning sessions for marketing and sales campaigns and other projects.
WOW Festival
Attend WOW Festival taskforce meetings.
Assisting in project‑managing marketing needs for the festival, including marketing materials, signage, outreach, and planning for the festival Info Booth.
Serve as a key marketing contact on site during the festival weekend.
Public Relations
Under the guidance of the Director of Public Relations, maintain online listings for all public‑facing events with support from interns.
Assist in the creation of press kit materials.
Events
Represent the Playhouse at performances and events in support of marketing and communications initiatives as needed, for example, opening nights, WOW Festival and select community events.
Administration and General
Contribute to maintenance of department calendar and project‑management software (Airtable), schedule meetings, take and distribute meeting minutes as needed.
Undertake administrative and research tasks related to upcoming marketing projects or initiatives.
Coordinate filing and archiving of marketing materials.
Process, code and gain approval for invoices, maintaining accurate records.
Assist with and coordinate community outreach initiatives.
Be an active participant in the communications team and other cross‑departmental teams.
Carry out other reasonable duties as required.
Essential Skills and Experience
Some professional marketing experience; experience in an arts or agency setting or working with creative/media is desirable.
Some knowledge of graphic design and briefing process.
Good administrative skills including attention to detail, professionalism and confidence suitable for a busy office environment.
Ability to set priorities, develop timelines, and monitor progress toward goals. Demonstrated experience overseeing multiple projects at the same time.
Good copy‑writing, grammatical and proofreading skills.
Interpersonal and communication skills including the ability to deal with a wide variety of stakeholders internally and externally and communicate effectively.
Ability to solve problems, assess situations, gather and process relevant information.
Flexibility to take feedback and change direction nimbly and positively.
Strong computer skills, including excellent knowledge of Microsoft Office Suite and the ability to learn new programs if required.
Positive hands‑on attitude, ability to work independently and take responsibility for role‑related tasks, while knowing when to seek feedback from supervisors.
Integrity, credibility, and a commitment to the Playhouse’s mission and values.
Ability to attend occasional work‑related performances and events at nights or on weekends.
