Facilities Coordinator
to join our team on-site at a prestigious, international Asset Management firm in the heart of downtown Manhattan. This is an incredible opportunity to work in a high-profile, professional setting where your attention to detail, operational excellence, and customer-first mindset will make an immediate impact.
Schedule:
M-F, 8:00am to 5:00pm, (Must be flexible for overtime if needed)

Pay Rate:
$29 to $33 per hour, based on experience
What You'll Do As the Lead Facilities Coordinator, you'll be at the center of keeping daily office operations running smoothly and efficiently. From coordinating vendors to supporting hospitality and workplace initiatives, your role ensures the firm’s space remains professional, welcoming, and fully functional.
Key Responsibilities
Act as a primary point of contact for facilities-related inquiries, ensuring prompt and efficient resolution.
Coordinate repairs and maintenance with internal teams and external vendors (e.g., HVAC, electrical, plumbing, cleaning).
Manage work order system; track service tickets and elevate as needed.
Monitor office conditions and proactively identify areas needing attention (lighting, furniture, restrooms, kitchens, etc.).
Support space planning efforts, including desk moves, seating assignments, and floor plan updates.
Assist with security and access control (e.g., key cards, visitor logs).
Maintain inventory of office and facilities supplies; reorder as necessary.
Participate in sustainability, space planning, and workplace experience initiatives.
Conduct regular inspections and audits to uphold cleanliness and safety standards.
Ensure compliance with local building codes, health regulations, and sustainability practices.
Space Planning & Seating Management
Manage and update floorplans using workplace planning tools (WISP, OfficeSpace).
Plan and execute seating assignments, office moves, and reorganizations in collaboration with Office Managers and stakeholders.
Maintain visitor management protocols and oversee office capacity dashboards.
Communicate with stakeholders to ensure diplomatic and efficient seating solutions.
Office Services & Administrative Support
Partner with the Office Administration team to support reception duties and onboarding of new hires (desk setup, supplies, security access).
Manage physical access cards and security profiles (via Kastle and building systems).
Oversee mailroom operations, including receiving, processing, and distributing deliveries and managing shipments via UPS, FedEx, USPS, and couriers.
Collaborate on ad-hoc business projects and requests across global offices.
What We’re Looking For
2+ years of experience in facilities management, office operations, or building services.
Strong leadership and team management skills with a service-first mindset.
Excellent communication and relationship-building abilities across all levels.
Experience managing vendors and ensuring contract performance.
Ability to handle space planning tools and coordinate office moves.
Familiarity with health, safety, and environmental compliance requirements.
A proactive, collaborative, and team-centric approach.
Proven ability to juggle tasks in a fast-paced, professional environment.
Familiarity with facilities software systems like Angus, FMX, or ServiceNow is a plus.
Basic understanding of building systems (HVAC, plumbing, electrical).
Able to lift up to 40 lbs and handle light physical tasks when needed.
Knowledge of OSHA, ADA, and building compliance standards is a bonus.
