RFP Project Coordinator – 14356. Regular full-time, remote (Stockton or Turlock, California). Schedule: Monday – Friday, 8:00 AM – 5:00 PM. Department: HQ – Admin. Reports To: Sr. Projects Coordinator / Projects Supervisor. Pay Range: $32.00–$34.00/hr. Aspiranet is a leading California-based nonprofit dedicated to supporting children, youth, and families. We are seeking a Projects Coordinator who excels in organization, communication, and attention to detail to manage complex proposal and funding processes and support programs that transform lives across California.

Position Summary

The Projects Coordinator is responsible for the preparation, coordination, and submission of the agency’s funding opportunity proposals. This role maintains proposal materials, coordinates documentation, and manages data for internal analysis and leadership reporting. The position requires collaboration with district offices, consultants, and external agencies to ensure timely, accurate, and compliant submissions. The Projects Coordinator also manages databases, tracks contract terms, and supports the full lifecycle of the proposal process—from opportunity identification through submission and award.

Key Responsibilities

Coordinate the full lifecycle of proposal development from initial planning to submission and award notification. Collect and compile documentation related to funding and program opportunities. Develop, review, and submit Community Care Licensing (CCL) Program Statements. Edit and compile final proposal documents for accuracy, completeness, and timely submission. Maintain records of active and inactive proposals; file and tag contracts with metadata. Monitor funding opportunity platforms, set up proposal projects, and support review and submission processes. Extract and track contract terms, compile proposal recaps and forecasts, and assist with post-award tasks such as score sheet collection. Conduct research on competitor contracts and support annual updates of program and departmental data.

Communication & Collaboration

Facilitate clear communication across departments regarding funding and program opportunities. Coordinate with internal teams, district offices, and consultants throughout proposal development. Prepare and deliver periodic progress reports to senior leadership. Provide administrative and technical support to the Projects Supervisor and executive leadership team as needed.

Systems Management & Reporting

Maintain and update the Program Contracts Site, proposal/RFP database, and funder list. Manage data and prepare reports for leadership decision-making and compliance.

Qualifications

Minimum: Associate degree in Business, English, or a related field, or a minimum of 3 years of experience in document editing, project coordination, or a similar role. Advanced proficiency in Adobe Acrobat, SharePoint, and Microsoft Office Suite (Word, Excel, PowerPoint). Proficient in 10-key data entry. Capable of preparing budget layouts and designing complex equations with accuracy. Strong organizational skills with keen attention to detail. Ability to manage multiple tasks and meet deadlines in a fast-paced environment. Demonstrates flexibility in handling multiple projects and shifting priorities. Excellent verbal and written communication skills. Ability to prepare clear, concise, and well-structured reports. Meets all state-required conditions of employment (fingerprint clearance, Child Abuse Index, TB/physical exam, valid driver’s license, clean driving record). Preferred: Bachelor’s Degree in Business Administration or related field. Prior work experience in a not-for-profit setting. Experience in a multi-site organization.
