Role As assigned by the Procurement Manager, the Procurement Expeditor is responsible for monitoring, coordinating, and ensuring timely delivery of all materials, equipment, and services required for the assigned project(s). The role focuses on tracking purchase orders, coordinating with suppliers, logistics teams, and internal project stakeholders to mitigate delays and ensure materials are delivered in accordance with the project schedule and specifications. The Expeditor acts as the key link between Procurement, Engineering, Logistics, and Site Construction teams for all material tracking and delivery‑related activities.
Responsibilities
Report directly to the Procurement Manager or Project Procurement Lead, depending on project size and structure.
Monitor and track all purchase orders and subcontracts to ensure timely submission of documentation, approvals, manufacturing, inspection, dispatch, and delivery.
Coordinate with suppliers to obtain manufacturing schedules, inspection notifications, shipping details, and other relevant updates.
Maintain an updated expediting report showing current status, anticipated delivery dates, and potential risks or delays.
Liaise with Engineering, QA/QC, and Logistics teams to ensure all pre‑delivery documentation (e.g., material submittals, inspection release notes, packing lists) is received and approved in time.
Follow up on vendor documentation and ensure submission of complete Manufacturing Data Records (MDR) and close‑out documents.
Escalate potential delivery delays or non‑conformances promptly to the Procurement Manager and Project Controls for corrective action.
Ensure compliance with company and client procurement procedures, quality standards, and documentation protocols.
Assist in maintaining procurement databases and material tracking tools in coordination with Procurement Administration.
Qualifications
Minimum 5 years of experience in procurement expediting, preferably within the construction, MEP, or data centre sectors.
Diploma or degree in Supply Chain Management, Procurement, Engineering, or a related field.
Strong understanding of international shipping, logistics documentation, and vendor management.
Proficient in Microsoft Office Suite and ERP/procurement software systems.
Excellent communication and coordination skills with the ability to manage multiple stakeholders.
