Position Overview ICJIA is looking for someone to join our Federal State and Grants Unit (FSGU) team to perform complex administrative duties including, but not limited to, providing information and assistance, records maintenance, and grants management system support. This person will also support the team by querying information systems for data, compiling and reporting data to management and/or government agencies, assisting in the planning and development of unit administrative procedures, and assisting in the development of programmatic materials.

Essential Functions

Acts as a staff assistant to the Director of FSGU and the FSGU B managers.

Plans and develops unit procedures.

Serves as a liaison.

Gathers information and compiles reports and correspondence relative to the activities of FSGU programs and the budget committee.

Collaborates with and serves as a back-up to the FSGU A Administrative Assistant.

Performs other duties as required or assigned which are reasonably within the scope of the duties enumerated above.

Minimum Qualifications

Requires knowledge, skill and mental development equivalent to completion of four years of college, preferably with courses in public or business administration.

Requires one year of professional experience in a public or private organization.

Preferred Qualifications

Prefers two (2) years of professional experience conducting quality assessment reviews verifying compliance with rules, regulations, policies, and procedures for a public or private organization.

Prefers two (2) years of professional experience providing administrative support and coordinating projects within a public or private organization.

Prefers two (2) years of professional experience working in a public or private organization maintaining confidentiality and handling sensitive information with professionalism.

Prefers two (2) years of professional experience communicating effectively with both internal and external stakeholders in oral and written form.

Prefers two (2) years of professional experience meeting deadlines with strong attention to detail while multi-tasking multiple projects.

Conditions of Employment

Requires proper documentation for approved work in the United States.

Requires ability to travel in the performance of duties, with overnight stays as appropriate.

Requires a valid and current driver's license.

Requires completion of a background check and self-disclosure of criminal history.

Work Hours Monday - Friday 8:30am - 5:00pm
