Position Purpose The Assistant Director of Student Finances works in collaboration with the Thayer Finance Office team and Central Finance departments to provide consistently outstanding customer service to the Thayer community with an emphasis on timeliness, accuracy, professionalism and continuous improvement. Reporting to the Director, the Assistant Director focuses on the management of student financial accounts and student employment, among other responsibilities.
Key Accountabilities Student Financial Services (50%)
Manage student billing and support process, including updates of tuition rates, enrollments, and other key data for accurate reporting.
Prepare and submit allocations for tuition, health insurance, and fees for all accounts.
Advise and assist students with financial payments, account review, and financial release for graduation.
Analyze and reconcile monthly transactions for accuracy and spending patterns.
Financial and Personnel Transactions (20%)
Process student-related transactions with the Dartmouth Finance Center, including deposits, journal entries, corrections, and expense allocations.
Review, audit, and report utilizing Dartmouth HR/financial systems.
Work with Procurement and vendors to resolve student-related issues involving purchase orders, invoices, and/or PCard transactions.
Manage student hiring for courses and research positions in NextGen and oversee payroll processes, ensuring compliance with payroll deadlines.
Coordinate with the Dartmouth Finance Center on student payroll issues for timely and accurate processing.
Financial Projections, Reporting and Analysis (20%)
Assist with key financial processes: annual budget, quarterly projections, fiscal year-end close.
Prepare, analyze, and distribute detailed financial reports for students, student groups, project courses, labs, and other activities.
Monitor financial performance and advise program leads on budgets and potential overruns.
Perform selected financial analyses and ad hoc projects under the Director.
Identify opportunities for process improvement and recommend adjustments.
Policy Compliance and Customer Service (10%)
Ensure Thayer funds comply with donor restrictions and institutional policies.
Guide the Thayer community on using the Thayer chart of accounts.
Act as advisor and trainer on Dartmouth fiscal policies and processes; provide procedural guidance.
Collaborate with Central Finance to ensure compliance with Dartmouth policies.
Deliver exceptional customer service with timely responsiveness and accuracy.
Identify, analyze, and resolve customer issues; escalates critical issues to the Director.
Cross train with other Finance Office team members to assure coverage and consistency.
Additional Responsibilities
Demonstrate professionalism and collegiality with a welcoming environment.
Perform other duties as assigned.
Required Qualifications
Bachelor’s degree or equivalent education and experience.
5-8 years of relevant experience.
Advanced problem‑solving, resolution, and analytical skills; ability to prioritize and manage time.
Extremely detail‑oriented.
Intermediate to advanced Excel skills.
Strong oral and written communication skills.
Team‑oriented, self‑directed, and able to take initiative.
Ability to multitask and meet strict deadlines.
Preferred Qualifications
Experience working with student accounts and/or student employment.
