Event Production Coordinator – Menlo Park, CA
Travel: Up to 40% (Domestic & International)

About the Role In this role, you'll be instrumental in the planning and execution of our most important events, including public-facing streams, revenue-generating initiatives, and engagements with key stakeholders like Marketing, Executive Admins, and C-level executives. You will handle the logistics for both in-person and virtual events, ensuring every detail is meticulously managed from start to finish. These events include offsite Marketing events, onsite publicly facing web streams, and all hypercritical production.
What You’ll Do
Manage a comprehensive event calendar, tracking pre-production activities for multiple projects simultaneously.
Develop and maintain detailed on-site show schedules to ensure seamless execution.
Request quotes and manage purchase orders (POs) and invoices from a variety of audio-visual, scenic and event support vendors.
Work closely with our in-house engineering and network teams to guarantee our stakeholders and attendees technical needs are met during events.
Coordinate with internal teams and external vendors to secure equipment and labor for events.
Provide on-site support, ensuring a smooth and successful event experience for all participants and attendees.
What You Bring
Minimum of 5 years of experience in event production or a similar role, ideally within a high-tech or fintech company.
Proven ability to manage multiple projects at various stages of production.
Strong organizational skills and an obsessive attention to detail.
Excellent communication and collaboration skills, with the ability to work effectively with diverse teams and stakeholders.
A valid passport and the ability to travel extensively, both domestically and internationally.
Experience with financial tracking, including managing quotes, POs, and invoices.
