Staff Accountant – Financial Reporting

The Staff Accountant is responsible for a variety of accounting tasks, including account reconciliations, accounts payable, fixed assets management, and general accounting duties. This position plays a key role in supporting accurate financial reporting, compliance, and budget oversight, particularly in relation to capital projects and construction in progress (CIP).
Key Responsibilities
Prepare monthly account reconciliations, including bank reconciliations and other assigned accounts
Reconcile and maintain Fixed Assets and Construction in Progress (CIP) accounts
Maintain and update lease amortization schedules
Prepare construction project worksheets, including budget-to-actual comparisons
Accounts Payable
Record, audit, and process construction-related invoices
Record Athletics-related check disbursements
Serve as a backup for general accounts payable processing
Manage the purchasing system (WebPortal): generate, distribute, and follow up on purchase orders
Provide backup support for credit card users and process related transactions
Fixed Assets / Construction in Progress (CIP)
Review and track capital improvements, and transfer completed projects to Fixed Assets/CIP
Maintain and update budget schedules for capital improvement projects and pending expenditures
Track project completion and initiate fixed asset capitalization
Run and record monthly depreciation journal entries
Update inventory records for asset additions and disposals
Monitor and budget carry-over projects
Support budget managers with capital improvement oversight and forecasts, as directed by the Accounting Manager
General Accounting & Administrative Support
Monitor and reconcile credit card refunds against authorization forms
Assist in the preparation of fixed asset audit notes and other financial notes
Prepare and file State intangible personal property forms
Maintain and update the property tax schedule, ensuring timely tax payments
Complete month-end and year-end closing activities by assigned deadlines
Order and maintain office supplies for the Business Office
Ensure timely deposit of payments (bank and office) by year-end deadlines
Provide support to the Accounting Manager and Director of Finance
Assist with external audits by preparing requested documentation and schedules
Qualifications
Education: Bachelor’s Degree in Accounting (required)
Skills and Experience
Proficient in Microsoft Excel and Word
Strong organizational and prioritization abilities
Excellent analytical and problem-solving skills
Solid understanding of general accounting principles
Preferred: Experience in a not-for-profit organization or fund accounting
