Wildfire Defense Systems, Inc. ("WDS") is a Qualified Insurance Resource (QIR) operating the largest private sector wildfire service in the nation, encompassing a 22‑state service area and specializing in wildfire education, loss prevention, and wildfire response services. Qualified Insurance Resources are defined as NWCG qualified or equivalent, wildland engines, tenders, hand crews, fire/liaison officers, and personnel working for or contracted by an insurance company with a mission to mitigate impacts on insured structures threatened by wildfire. WDS holds contracts with insurance companies to provide wildfire loss prevention services. WDS fields experienced, highly trained, safety‑focused wildfire officers and fire personnel that hold a wide range of Federal Wildfire Incident Command position classifications necessary to meet or exceed all federal wildfire operation standards and codes including all requirements of the National Wildfire Coordinating Group (NWCG) or equivalent. WDS is capable of providing more than 180 wildland engines and hundreds of fire personnel and support personnel. WDS has served large and small insurance clients since 2008.

Reports To: Payroll Manager

Purpose and Scope of Position As a payroll administrator, you play a crucial role in ensuring that all employees within our organization are compensated accurately and on time. Your primary responsibilities include managing payroll systems, calculating wages, processing tax deductions, and maintaining comprehensive payroll records. You will also handle employee inquiries related to payroll, ensure compliance with federal and state regulations, and prepare detailed payroll reports for management. This role requires strong numerical skills, attention to detail, and proficiency with payroll software. By efficiently managing these tasks, you will help maintain organizational compliance and employee satisfaction.

Duties and Responsibilities:

Payroll submission

Timecard review

Entering deduction changes and additional earnings

Working with employee and managers to correct and approve missing/incorrect items

Review check register

Processing check corrections

Submit payroll accurately and on time

Save reports and disperse information appropriately

Handle new employee orientation and additional employee training

Handle payroll mail

Handle payroll emails

Assist in data collection and entry

Handle 401K processes

Track new hires/rehires/returners on payroll new hire spreadsheet for eligibility accuracy

Track employee eligibility requirements

Enroll eligible employees on American Funds

Add safe harbor contribution to eligible employee’s payroll software profiles

Notify newly eligible employees of plan info and docs

Review and approve eligible employees’ contribution change requests

Audit safe harbor contributions during payroll runs

Deposit employee contributions in American Funds

Send contribution breakdowns to Accounting for G/L processing

Answer employee questions and provide necessary documentation

Workers’ Compensation wage reporting

Hartford PFML for required states

SOC code audits for required states

Assist with benefit deductions

Assist with review of special group deduction limits

Coordinate manager payroll and HRIS software training

Job Requirements Education, Experience, and Skills:

Education: associate degree or bachelor’s degree in Business, Accounting, Human Resources, or related field required.

Experience: 1 – 5 years of experience

Skills:

Advanced Payroll knowledge and region/company specific knowledge

Understanding and contributing to the development and execution of Payroll strategies that align with organizational goals

Providing guidance and support to Payroll staff and coaching employees and managers on Payroll-related issues

Managing Payroll projects from inception to completion, including planning, execution, and evaluation

Utilizing data analytics to inform leadership on Payroll decisions and strategies

Working with leadership in resolving conflicts effectively

Evaluating and managing relationships with external vendors providing Payroll services, such as Vision and Big Sky Retirement

Knowledge of current Payroll best practices

Strong interpersonal skills to build and maintain positive relationships with employees and management

Flexibility to adapt to changing organizational needs and priorities

Ability to handle sensitive and proprietary information with discretion and maintain confidentiality

Ability to analyze data and generate insights for decision-making and reporting

Strong problem‑solving skills to address complex HR issues and conflicts

Proficiency in managing multiple HR projects simultaneously, ensuring timely and successful completion

Familiarity with company specific Payroll software (HRIS) and other relevant technologies

Identifies opportunities to enhance the equity of organizational policies and procedures to all employees

Develops and maintains a network of external partners (such as vendors)

Establishes a strong and positive reputation, within and outside the organization, as an open and approachable Payroll professional

Embraces opportunities to lead a team

Identifies and fills missing or unfulfilled team roles

Presents needed information to stakeholders on a regular basis and refrains from presenting unneeded information

Manages interactions with vendors and suppliers to maintain service quality

Advises and coaches managers on best practices related to timecards, time off, and payroll review

Audits risk management activities and plans

Collaborates with leadership to remove obstacles to the successful implementation of Payroll initiatives

Obtains and deploys organizational resources and monitors their effectiveness

Brings potential conflicts of interest or unethical behaviors to the attention of leaders and executives

Assists management in higher level reporting and audits

Physical Requirements

Prolonged periods sitting at a desk and working on a computer

Must be able to lift 15-lbs.

The pay range for this role is:

55,900 - 72,900 USD per year (Bozeman, MT)
