The Parts & Inventory Coordinator is responsible for managing the company’s parts and tool inventory, with a focus on ensuring that all technicians’ vehicles are properly stocked to handle standard service and repair jobs efficiently. This role involves inventory tracking, ordering and receiving parts, coordinating with vendors, and working closely with field technicians to meet their supply needs. The ideal candidate is highly organized, detail-oriented, and has experience in logistics or parts management within a service-based industry.
Key Responsibilities:
Inventory Management
Maintain accurate inventory levels of parts, tools, and consumables in the warehouse and technician trucks.
Conduct regular cycle counts and full inventory audits.
Monitor stock levels and reorder supplies to prevent shortages or overstocking.
Technician Truck Stocking
Develop and maintain standard stock lists (truck stock sheets) for various types of service vehicles.
Ensure each technician’s truck is stocked with appropriate parts and tools for day-to-day jobs.
Coordinate restocking schedules with technicians to minimize downtime.
Procurement & Vendor Coordination
Order parts and tools from approved vendors and track shipments.
Build and maintain strong relationships with suppliers to ensure timely and cost-effective deliveries.
Manage purchase orders, receipts, and returns.
Logistics & Operations Support
Work closely with dispatch, service managers, and technicians to anticipate upcoming needs.
Assist in staging parts for scheduled jobs to improve workflow and reduce delays.
Maintain organized storage systems and improve inventory layout efficiency.
Documentation & Reporting
Keep detailed records of inventory transactions, truck restocking, and order history.
Prepare reports on inventory levels, usage trends, and purchasing metrics.
Identify and implement opportunities for cost savings and process improvements.
Qualifications:
High school diploma or GED required; associate degree or relevant certification .
2+ years of experience in parts, inventory, warehouse, or supply chain management (experience in HVAC, plumbing, electrical, or automotive industries is a plus).
Proficiency in inventory software or ERP systems.
Strong organizational and problem-solving skills.
Ability to lift and move parts and tools (up to 50 lbs).
Valid driver’s license (required to move between warehouse and technician trucks if necessary).
Excellent communication skills and attention to detail.
Working Conditions:
Mix of warehouse/stockroom and office environment.
Occasional travel between locations or job sites may be required.
Regular interaction with field technicians and service managers.
