Seasonal Office Administrator
- Coldstream Adventures Snowmobile Tours is seeking a highly organized and customer-focused Seasonal Office Administrator to join our team for the upcoming winter season. If you are a proactive and friendly individual with excellent communication skills, this is a fantastic opportunity to be the front-line contact for our guests and a vital part of our snowmobile tour operations. About Us: Coldstream Adventures has been offering unforgettable guided snowmobile tours in the Truckee/Tahoe area for 30+ years. We are passionate about providing safe, thrilling, and high-quality guest experiences. Role Overview
As the first point of contact for our guests, the Office Administrator ensures the office runs smoothly and efficiently. You will manage tour bookings, handle customer inquiries, and perform administrative tasks that support our operational team and guides. This full time, seasonal position will run from November to April (based on conditions), with weekend and holiday work required. Responsibilities
Reservations and Guest Services: Manage tour bookings via phone, email, online booking system and in-person inquiries. Serve as a friendly and helpful point of contact for guests, answering questions about tours, weather, and logistics. Coordinate guest waivers and manage reservation details in our booking system. Assist with any guest issues or concerns with a positive, respectful attitude. Administrative and Financial Support: Provide financial information to the owner and company bookkeeper. Maintain organized digital and physical filing systems for waivers. Assist with accident reporting and snowmobile damage charges. Assist with inventory for retail merchandise and office supplies. Operational Communication: Act as the reservation/tour coordinator for snowmobile guides. Contact emergency services in the event of serious incidents Assist with accident reporting and snowmobile damage charges. General Office Management: Maintain a clean, organized, and presentable office and retail space. Assist with snow removal around the office and guest entry points to ensure safety. Complete other clerical and administrative duties as assigned. Qualifications and Skills
Customer Service:
Prior experience in a customer-facing role, preferably in tourism, hospitality, or a related field. Communication:
Exceptional verbal, written, and radio communication skills. Technical Skills:
Proficiency with computers, Microsoft Office Suite, and the ability to learn new reservation and POS software quickly. Attention to Detail:
Meticulous and consistent in managing data entry and recordkeeping, even in a fast-paced environment. Problem-Solving:
Proactive, self-motivated, and capable of prioritizing tasks and troubleshooting issues with minimal supervision. Work Ethic:
Adaptable and reliable, with a high level of integrity for handling sensitive guest and financial information. Physical Demands:
Ability to stand for extended periods, work in a remote office setting and outdoors in all weather conditions Availability:
Must be available to work weekends, holidays, and variable shifts as dictated by business needs. Compensation:
