Front Office Associate
RAYUS Radiology is looking for a Front Office Associate to join our team. As a Front Office Associate, you will provide services to patients and referring professionals by answering phones, scheduling appointments, greeting and registering patients in a cheerful, professional, and sincere manner, and performing other duties as assigned. This is a full-time position working 40 hours per week, Monday through Friday, 8:00 AM – 4:30 PM, with one weekend per month.
Essential Duties And Responsibilities (55%) Registration
Greets and checks in patients scheduled for imaging services; registers demographic information and processes payment plans and copays
Answers phones and handles calls efficiently and friendly
Fields calls appropriately for center associates
Acts as liaison between technologists and patients waiting for exams, relaying scanner status and other clinic information
Maintains front office lobby area by straightening magazines, organizing coffee supplies, and assisting with general office clean-up
Orders office supplies as needed
Maintains supply of patient information sheets
Pushing imaging via electronic interfaces
Completes confirmation calls and provides preparation instructions to patients
Faxes reports, billing information, and medical release forms as requested
(20%) Insurance
Verifies patient insurance
Pre-certifies all exams with patient’s insurance company
Obtains insurance authorization
Uses knowledge of insurance carriers (e.g., Medicare) and procedures that require waivers to obtain authorization if needed prior to appointment
Handles release of information requests for patients, referring offices, other medical facilities, attorneys & insurance companies following company guidelines
(20%) Scheduling
Arranges transportation, interpreters, and hotel accommodations for patients when appropriate
Enters and submits patient exam orders
Verifies orders match exam schedules
Schedules referrals and ensures proper authorizations are obtained
Schedules walk‑in patients
Processes requests for image orders and CDs from referring physicians and patients
Maintains an up‑to‑date and accurate database of all current and potential referring physicians
(5%) Performs other duties as assigned
