About the Role This is an Executive Assistant role that provides essential support to the Head of Americas and other executives for the New York office. The role is designed to ensure smooth day-to-day operations both in supporting senior leadership and maintaining a well-functioning, welcoming office environment.
The Executive Assistant component focuses on complex calendar coordination, travel planning, meeting support, expense support, and general administrative efficiency for the Head of Americas.
This position requires working a minimum of four days per week onsite in the New York office, with additional days as needed to support office events or leadership priorities. This provides some flexibility for remote work on Fridays.
What You Will Be Responsible For Our platform, SimCorp One, is one of the world's leading investment management solutions used globally by international financial institutions and equity funds.
Key Responsibilities
Executive Assistant (70%)
Manage complex calendar for the Head of Americas, including scheduling and prioritizing high-level internal meetings and external engagements with a C-level audience of clients and senior stakeholders across multiple time zones
Coordinate domestic and international travel arrangements, including flights, hotels, and itineraries.
Complete Head of Americas’ expense reimbursement submissions and review/approve expenses from the team.
Personally welcome Head of Americas’ guests, clients, and/or board members, and guide them through security or to meeting rooms.
Help prepare internal presentation materials, updates, and reports in collaboration with cross-functional teams.
Assist with planning and logistics for internal meetings such as town halls, team offsites, and strategic planning sessions.
Physically arrange chairs, whiteboards, AV equipment, handouts, and refreshments before meetings.
Provide administrative support on special projects or time-sensitive initiatives as needed.
What We Value As our preferred candidate you have:
7-10 years of Executive Assistant experience supporting senior-level executives
Office management or similar administrative experience is desirable, with a willingness to take initiative and support hands-on office needs
Exceptional organizational and time management skills, with the ability to prioritize and multitask effectively
Adaptable and proactive mindset, able to pivot between competing priorities seamlessly
Friendly and service-oriented approach, comfortable interacting with senior leadership, clients, and internal teams
Proficiency in MS Office and Microsoft Teams
Strong verbal and written communication skills
High level of discretion, confidentiality, and professionalism
Willingness to work on site in the NYC office 4x per week
