Description The Assistant Community Manager assists the Community Manager in the successful site management of the apartment community, providing the necessary leadership, guidance, and motivation to ensure a positive working environment and quality community living. The Assistant Community Manager is responsible for administering the day‑to‑day leasing office operations, overseeing all computer input for the apartment community, directing the leasing staff, and working with the Community Manager to recommend marketing and leasing strategies designed to meet the goals of Shea Properties.

Job Duties

Lead and participate in line‑up each morning.

Ensure Craigslist ads are posted daily.

In conjunction with the Community Manager, supervise the input of all data into designated property management software and the processing of related reports.

Review and approve move‑out statements (SODA), ensuring all statements are completed in a timely manner in accordance with state law and Shea Properties policies.

Review and approve resident rental applications for move‑ins fairly and consistently in accordance with Fair Housing requirements and Shea Properties policies and procedures.

Assist in negotiating rent increases and lease renewals with residents and support the Community Manager in executing all necessary documents to implement approved rental increases.

Coordinate with Leasing and Maintenance staff a calendar of scheduled move‑ins, ensuring all move‑in appointments are completed and all apartments are inspected prior to move‑in.

Review Yieldstar each morning and submit pricing recommendations.

Maintain all resident and vendor files, ensuring completeness and accuracy of all paperwork and documentation.

Under direction of the Community Manager, prepare and deliver all legal and formal notices, including Three‑Day or 30‑Day Covenant to Quit, Rent Increase Notices, Late Charge Notices, and Notices of Violation of Community Rules and Regulations, in accordance with California Civil Code and Shea Properties policy and procedure.

Maintain all account records and transactions, including NSF’s, Rent Allowances, Concessions, Rent Increases, Utility Billing Collection, and other management‑approved debits/credits.

Prepare weekly reports in an accurate and timely manner.

Direct the functions of the leasing office, supervise leasing staff’s daily activities, and prepare all leasing paperwork and related documents.

Act as gate‑keeper for Avid Exchange.

Prepare work orders and submit for approval in Go Cart.

Assist in the development, preparation, and administration of the capital and operating budgets for the property.

Participate in the staff selection process; recruit, hire, and train all leasing staff under the approval and direction of the Community Manager.

Prepare annual reviews for all direct reports, set incentive‑based compensation goals, and implement professional development plans.

Support and motivate staff to participate in company‑sponsored training and ensure compliance with all mandatory training.

Oversee and/or conduct weekly sales "leasing fundamentals" meetings and submit fundamentals to the Regional Manager for review.

Support industry networking and encourage direct reports to participate in industry association functions.

Perform other duties as assigned; actual duties may vary depending on the size of the community.

Handle on‑call duties, as directed by supervisor.

Technical/Professional Knowledge

Effective oral and written communication skills; ability to give clear direction and respond to inquiries.

Understanding of accounting principles and budget process; ability to read and interpret numerical information.

Basic understanding of marketing concepts, data analysis, and report writing.

Customer service experience required in at least one of the following industries: property management, hospitality, retail, and real estate.

Negotiate and resolve conflicts.

Proficient with Microsoft Office products (Word/Excel/Outlook) and Yardi & Yieldstar preferred.

Prior experience in managing staff (supervise, train, coach, develop, motivate, interview, hire, terminate) and lead by example.

High School Diploma or equivalent; some college coursework preferred.

Minimum of 2 years property management experience with at least 1 year at the management level.

Schedule & Physical Requirements The Assistant Community Manager works on‑site at an apartment community, interfaces with residents and vendors on a regular basis, and works a schedule that may vary depending on the property. Hours are usually scheduled from 9 a.m. – 6 p.m., with an expected start at 8:50 a.m. for staff line‑up. Saturday and/or Sunday work may be required depending on occupancy; a flexible and readily available schedule is necessary.

Physical Requirements: The employee frequently stands, walks, sits, uses hands and arms, stoops, kneels, talks, hears, and uses a telephone and computer. May be required to lift up to 25 pounds. Must be able to drive and travel 10‑25 % of the time.
