Job Summary Supports and assists the Community Manager in overseeing and managing the financial and operational facets of the community. Responsibilities include completing accounting and bookkeeping tasks, preparing monthly close‑out and financial reports, processing invoices for payment, collecting rent and fees, completing bank deposits, dispositions, and account reconciliations, and using property management software to record, track, and report on all financial activities.
Essential Responsibilities
Completes daily financial transactions: collects and posts rent and fees, prepares bank deposits, reconciles bank accounts, prepares financial reports, and processes invoices and payables.
Operates the property management software (Yardi/OneSite), ensures all required fields are correctly entered, and maintains system integrity through updates and backups.
Reviews resident files and accounting records to identify unpaid or late fees, communicates with residents regarding balances, implements collections procedures, and enforces lease terms to maximize revenue.
Reviews and submits vendor, contractor, and service provider invoices, reconciles work performed, obtains management approval, codes charges to appropriate Chart of Account codes, and manages vendor communication.
Follows company procedures for evictions, including proper notice requirements, resident removal, and representation in court hearings.
Processes resident move‑outs by reviewing lease terms, applying appropriate fees, and managing dispositions per established procedures and legal requirements.
Promotes resident satisfaction by responding to complaints and requests promptly and resolving service issues.
Serves as on‑site supervisor in the Community Manager’s absence, coordinating maintenance and make‑ready tasks and ensuring operations comply with company policies.
Assists in client/owner relations: meets owners, conducts community tours, provides performance updates, and responds to owner requests.
Other Responsibilities
Supports leasing and marketing efforts by greeting prospects, filling Guest Cards, showing apartments, processing lease deposits, and assisting with rental applications and credit checks.
Completes various accounting, financial, administrative, and other reports and performs additional duties as assigned.
Organizational Responsibilities
Monitors compliance with regulatory requirements, organizational standards, and operational processes, reporting violations to appropriate personnel.
Practices proper safety techniques per company and community policies, reporting equipment malfunctions and safety incidents.
Identifies improvement opportunities and recommends suggestions to enhance community efficiency, productivity, and profitability.
Stays informed of industry trends and attends training, association meetings, and other learning events.
Working Conditions
Work occurs in an office environment with frequent exposure to outdoor elements such as temperature, weather, odors, and landscape.
Physical Demands
Must access all exterior and interior parts of the community and amenities.
Must lift and carry weights up to 20 pounds independently or 50 pounds with assistance.
Routine local travel may be required for bank deposits, training, or other duties.
Required Licenses or Certifications
All licenses and certifications required by state and local jurisdictions.
Valid driver’s license required for golf cart operation on property.
Knowledge, Skills, Abilities
Effective written and verbal communication for legal documents, sales, and resident interactions.
Proficiency with Internet, word processing, spreadsheets, databases, and property management software (preferably Yardi/One Site).
Strong mathematical skills for financial records, budgeting, and reporting.
Understanding of community operations, lease terms, and collections enforcement.
Relevant employment history in community management, sales, marketing, customer service, financial reporting, and team coordination.
