Aalis Management Consulting is seeking a detail-oriented and proactive Federal Administrative Support Assistant to provide secretarial and administrative support to senior leadership within the Federal Agency. The incumbent will perform a wide range of clerical, coordination, and data management functions to ensure operational efficiency and compliance with policies and procedures.
Major Duties And Responsibilities
Perform independent administrative and clerical support with minimal supervision.
Manage calendars, schedule meetings, and coordinate logistics for senior staff.
Prepare meeting agendas, minutes, and track follow-up action items.
Monitor and route incoming calls, emails, and correspondence.
Submit and track IT service requests and verify completion.
Support timekeeping functions using WebTA, including data input, validation, and payroll coordination.
Maintain automated systems for monitoring program data, milestones, and reporting deliverables.
Compile and analyze statistical, budgetary, and performance data for monthly reports.
Coordinate SES-level travel approvals, draft travel authorizations, and review expense reports.
Draft routine correspondence, reports, and special project documentation.
Maintain filing systems and organize program documentation.
Assist with performance plans, development plans, and evaluations.
Coordinate training logistics, including venue setup and materials distribution.
Interface with Mission Support staff, including finance, property, human capital, and compliance teams.
Respond to procedural inquiries related to Concur, WebTA, SharePoint, and other systems.
Conduct system queries and extract data from law‑enforcement and compliance databases.
Provide backup support to the Executive Assistant and SIP/ABC coordinators.
Qualifications
Associate's, Bachelor's, or equivalent degree preferred.
1-2 years of experience supporting GS‑12/GS‑13 level federal administrators.
At least five years of administrative or secretarial support within federal government or law‑enforcement environments.
Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, SharePoint, Visio, Access).
Experience with law‑enforcement databases and automated systems.
Strong document management and reporting skills.
Familiarity with federal office operations and interagency coordination.
Ability to compile, organize, and present complex data sets.
Accurate typing skills (minimum 40 WPM).
