Job Summary The Administrative Assistant specializes in providing routine administrative support for multiple directors in the department, under moderate supervision.

Responsibilities

Prepares reports, meeting minutes and correspondence.

Creates and edits documents, spreadsheets and presentations.

Manages schedules, arranges appointments and itineraries.

Coordinate meetings, travel, conference calls, and complete expense reports.

Answers and transfers phone calls.

May perform transcription and proofreading, edit literature, and prepare applications for the department.

Remains knowledgeable of business unit policies.

May handle contacts of a sensitive, complex, and confidential nature.

Completes routine tasks under moderate supervision.

Performs other duties as assigned and complies with all policies and standards.

Qualifications Education

High School Diploma or Equivalent required

Technical/Vocational Diploma Related Field of Study preferred

Experience

At least 2-3 years of administrative assistant or secretarial experience required

Supports 5+ Directors within the Enterprise Pathology Administrative Team

Must be highly organized and detail oriented

Skills for Success

Proficiency with office procedures and equipment (filing, copying, scanning, printing, faxing)

Proficiency in MS Office

Ability to proofread and edit written documents

Ability to manage multiple systems and multitask

Time management for self and others

Strong verbal and written communication

Strong interpersonal skills

Ability to use standard office equipment

Familiarity with medical terminology

Additional Job Details (if applicable) Working Model Requirements

Monday–Friday, Full Time ET business hours required

Must be flexible to be on-site as needed at Brigham and Women’s Hospital Boston, MGH Boston or MGB Somerville sites

Hybrid role mostly onsite; about 1-2 days per week at home can be discussed and reviewed based on business needs

Remote work requires a stable, secure, quiet workstation
