Job Summary
The Opportunity
The Administrative Assistant specializes in providing routine administrative support as directed and under moderate supervision for multiple directors in the department.
What You'll Do
Prepares reports, meeting minutes and correspondence.
Creates and edits documents, spreadsheets and presentations.
Manages schedules, arranges appointments and itineraries.
Coordinates meetings, travel, conference calls, and completes expense reports.
Answers and transfers phone calls.
May perform transcription and proofread and edit literature, prepare applications for department.
Remains knowledgeable of business unit policies.
May make contacts of a sensitive, complex, and confidential nature.
Completes routine tasks under moderate supervision.
Performs other duties as assigned.
Complies with all policies and standards.
Qualifications Education
High School Diploma or Equivalent required
Technical/Vocational Diploma Related Field of Study preferred
Experience
At least 2-3 years of administrative Assistant or Secretarial experience required
Administrative Assistant will support 5+ Directors within Enterprise Pathology Administrative Team
Must be highly organized and detail oriented
Skills for Success
Proficiency with office procedures and equipment i.e. filing, copying, scanning, printing and faxing.
Proficiency in MS Office.
Ability to proofread and edit written documents.
Ability to use multiple systems at a time and multi task
Managing one's own time and the time of others.
Strong verbal & written communication skills.
Strong interpersonal, written and verbal skills.
Ability to use standard office equipment.
Familiarity with medical terminology.
Additional Job Details (if applicable) Working Model Requirements
M-F Full Time ET business hours required
Must be flexible to be on-site as needed at Brigham and Women's Hospital Boston, MGH Boston or MGB Somerville sites.
Hybrid role mostly onsite, about 1-2 days per week at home can be discussed and reviewed, based on business needs but can vary and is not guaranteed.
Remote work requires stable, secure, quiet work station
