Summary
The ideal candidate will provide exceptional front desk customer service by answering inquiries and obtaining information from the general public, residents, visitors, and other interested parties. Maintain lobby security, manage the telecommunications system, and ensure office supplies are stocked. This role requires a blend of professional warmth and organizational rigor.
Essential Duties And Responsibilities
- Operates telephone switchboard to answer, screen, and forward calls, providing information and taking messages.
- Greets all visitors entering the facility and directs or escorts them to their destination.
- Assists residents, family members, employees, and other visitors as needed, demonstrating compassion and resourcefulness.
- Performs general administrative tasks such as word processing and data entry.
- Maintains security by following procedures and controlling access (i.e., monitoring logbook and surveillance footage).
- Maintains the general filing system and files all correspondence, ensuring confidentiality.
- Receive and sort daily mail/deliveries.
- Reports any issues or concerns with residents to the Administrator promptly.
- Maintains supply inventory; orders, receives, and stores supplies in the supply room.
- Ensures proper care in the use and maintenance of equipment and supplies.
- Other duties as assigned to support facility operations.
Qualifications
- Must possess, as a minimum, a high-school diploma or its equivalent.
- Proficient with Microsoft Office (Word, Excel, PowerPoint, Outlook).
- Ability to multi-task, prioritize and work under pressure in a dynamic environment.
- Professional appearance and demeanor are mandatory.
- Ability to be resourceful, tactful, and proactive in dealing with issues that may arise.
