Events Specialist 2 — 100% Contract position for 2 years with the possibility of extension or conversion to career status. Filing Deadline: Wed 11/5/2025. Responsibilities
The Events Specialist is responsible for planning, organizing, and advising on special events for University Centers and Student Life, primarily focusing on supporting events for the 600+ student organizations at UC San Diego. Events include trade shows, concerts, conferences, dances, symposiums, night markets, VIP events, etc. Responsibilities include arranging all event requirements specified by parties utilizing the facilities and ensuring University Centers meets all terms of each reservation contract. This includes meeting with facility users to collect event details and communicate them to all appropriate University Centers and UC San Diego Departments. Event spaces must be set up per specifications and, on-site as needed, to ensure client needs are met. The Events Specialist also manages accounts receivable and tracks and reports on event data and surveys to ensure first-class service. Qualifications
Bachelors' degree in related area and/or equivalent experience/training. Working knowledge of computer software including Microsoft Office Suite (Word, Excel, Outlook), Venue Scheduling Software (EMS), and Venue Diagram Software. Knowledge of event planning and production concepts, principles, and practices; ability to coordinate all logistical aspects of large and small-scale events; familiarity with budget development as applied to events. Knowledge of campus resources, policies, mission, goals, objectives, achievements and infrastructure; familiarity with campus fire officials (Fire Marshal, Police, Special Events Parking, etc.). Good judgment, problem resolution skills, and ability to identify issues needing escalation; knowledge of crowd control safety, security, and building code requirements for public events in multi-functional spaces. Ability to work in diverse groups (students, staff, faculty, public, production personnel, technical operators, performing artists) and collaborate with individuals from diverse backgrounds. Experience operating a student union or multi-purpose facility, including meeting, event and student organization facilities; experience with operations, custodial, maintenance, event programming, event security, police and technical services staff. Ability to work under pressure and tight deadlines with excellent customer service; demonstrated experience in customer service roles. Strong interpersonal communication and political acumen; excellent written and oral communication skills. Strong organizational skills with calendar management and scheduling abilities; ability to handle multiple tasks and prioritize. Ability to function effectively as a team member and build cooperative working relationships across campus units. Experience in training and motivating student part-time (student & temporary) employees. Special Conditions
Must be able to work flexible hours including holidays and weekends, as needed. Must be able to occasionally lift, push, or pull >25 lbs to move tables, chairs and other event equipment. Background check required. Mandated Reporter: This position is identified as a Mandated Reporter under the California Child Abuse and Neglect Reporting Act and requires immediate reporting of abuse or neglect of anyone under 18.
