About The Job We are seeking an experienced, highly organized, and proactive
Executive Assistant
to support the CEO. The ideal candidate thrives in a fast-paced, high-intensity environment, and is comfortable context switching frequently. This position requires attention to detail, strong communication, and enthusiasm for quality work. The EA will manage the CEO's inbox, calendar, and travel, as well as assist with event planning. The EA will serve as a trusted liaison between the CEO and both internal and external stakeholders. A high level of confidentiality, professionalism, and good judgment is essential for this role. Experience in similar roles at high-growth, venture-backed startups is a requirement.
Key Responsibilities
Inbox Management
Triage and organize emails in a timely manner and ensure key emails are directed to the right people
Flag urgent items to the CEO and relevant parties
Draft emails on behalf of the CEO and handle routine follow-ups directly
Create a system to ensure a 24 hour SLA on all external emails
Task Management
Be the main point of contact for all tasks that come through the CEO’s inbox/Slack, ensuring that nothing falls through the cracks
Build a system for tracking all tasks
Prioritize tasks based on urgency and context
Work with cross-functional teams to ensure CEO involvement is not a bottleneck
Calendar Management
Run a daily briefing with the CEO to share what’s happening that day
Proactively manage the CEO’s calendar, resolving scheduling conflicts well in advance
Keep the calendar constantly updated, avoiding last-minute changes and ensuring there are no overlapping appointments
Maximize calendar efficiency by filling open time slots when meetings move or are canceled
Work with Chief of Staff to ensure CEO time aligns with strategic priorities
Build out and enforce process for more productive meetings
Travel Coordination
Handle all aspects of the CEO’s travel, including booking flights, hotels, and rental cars well ahead of time
Ensure smooth travel logistics and confirmations for both business and personal trips
Create itineraries for each trip, thinking through the hourly schedule while on the road to ensure we are maximizing time/value at each destination
Operational Support
Coordinate logistics for leadership offsites and events and other activities that are CEO-led
Handle expense reports
Liaise with office manager to ensure CEO requests for office are taken care of
Take notes in key meetings, track action items, share meeting notes/minutes for key leadership meetings
Qualifications
5+ years of experience in an Executive Assistant role
2+ years supporting a CEO at a Series B+ company
