HOSPITALITY MANAGER
Franciscan Sisters, Little Falls, MN, have an opening for a part-time Hospitality Manager. Monday – Friday, 5 hours per day, occasional weekends and evenings. The Hospitality Manager is responsible for management of meeting rooms and overnight guest rooms. Communicate with individuals and groups to arrange dates and accommodations for private and group retreats, workshops, meetings, or tours at St. Francis Convent/Center. Assign rooms and check accommodation to assure guests’ comfort and safety. Works closely with other department directors to ensure requirements of groups are met, i.e., food service, room set‑up, and technology needs. Responsible for the management of the department’s budget and billing of clients. Must be proficient with MS Office (Word, Outlook, Excel, Publisher).
Hours:
25 hours per week, flexibility with weekends and evenings
Starting wage range : $20-$23 per hour

Description of Role Arranges, coordinates, welcomes, and hosts events, groups, individuals, Sisters, and lay persons who come as guests to St. Francis Center, Convent, Chapel, Clare Residence and Mary Hall. Develops and publishes Weekly Calendar, Monthly Event Calendar, and Monthly Birthday Calendar.
Major and Minor Tasks
Knows and demonstrates the Franciscan Values while performing all job functions. Demonstrates values with other staff, volunteers, clients, and visitors. Franciscan Values: 1) Respect, 2) Compassion, 3) Hospitality, and 4) Open Communication.
Upholds and fulfills mission and philosophy of Franciscan Sisters of Little Falls in all areas of communications and public relations, whether written, spoken or observed.
Meets/communicates with the Environmental Services Manager at least weekly to discuss, inform, and be informed of Community needs and activities.
Communicate with individuals or group representatives to arrange dates and accommodation for private or group retreats, events, workshops, tours, or meetings.
Manages guest room accommodation including, but not limited to, assigning rooms, managing guest access, developing invoices, collecting payment, assessing rooms and facilities to ensure guests’ safety and comfort. Inform internal staff of guests on a weekly basis by emailing and posting a “Guests of the Week” sheet.
Communicates with Nutrition Services Manager to arrange for time, meal choices and snacks as needed for each individual or group.
Communicate with Environmental Services Manager and Technology Director to arrange for meeting room set‑up and audio‑visual equipment. Inform Environmental Services Manager when the space is ready for clean‑up and groups need towels, clean linens, and supplies in bedroom areas. Assures general upkeep, cleanliness, and safety in all guest areas.
Works with Volunteer Manager to outline volunteer requirements including number of volunteers needed, dates and times.
Reserves Heritage Dining Room, St. Francis Hall, or conference rooms when needed for internal and external groups and individuals.
Works evenings and weekends as necessary for event management.
Communicates with Liturgist/Motherhouse Director:
when a group requests Chapel for a Mass or service
when a group needs vessels or supplies for a Mass celebrated in another area
when a group attends our Community Mass.
Mails or e‑mails information in response to e‑mails, phone calls, and letters of request for service and programs offered at our facilities.
Informs Motherhouse Director of all activities to be included in the 18‑Month Calendar.
Prepares and distributes the weekly calendar.
Prepares and responsible for annual budget for Hospitality Department.
For Sisters' gatherings and retreats:
may be asked to prepare and tabulate registration forms.
assigns meeting rooms and sleeping rooms, and posts room assignments, also giving a copy to appropriate people.
works with provides audio‑visual equipment and room set up.
occasionally coordinates serving of meals and snacks.
Prepares end‑of‑the‑month inter‑departmental billing for accounting for any department using meeting rooms or guest rooms.
Back‑up for Mailroom Manager to distribute mail, packages, meter mail, etc. as needed.
Perform other duties as assigned by the supervisor.
Qualifications
Responsibility: Makes arrangements, welcomes and hosts all groups and individual guests who come to St. Francis Convent. Works with Nutrition Services and Environmental Services personnel to assure appropriate food and a clean, respectful environment for guests. Keep accurate records and give billing information to Finance Office staff. Informs Receptionist of all guests and activities at Center.
Knowledge and Skills: Must be proficient with Microsoft Office software including Publisher. Must have administrative experience to plan, schedule, and keep records. Needs to show a Franciscan spirit of warm hospitality and care when receiving guests, answering telephones or corresponding by mail.
Mental Application: Must be able to keep records, schedule accurately, and organize to provide the various needs of each individual or group.
Workers Characteristics: Must be relatively calm and able to deal with interruptions, telephone calls, and needs of Sisters, guests, and groups as they arise. Excellent communication skills are required to keep all internal and external groups informed.
Physical Demands: Sits in well‑lighted, well‑ventilated office, but spends quite a bit of time walking from area to area of responsibility. Must be able to push cart with snacks, move and care for audio‑visual equipment. Involves stooping and bending and light lifting.
Hazards and Risks: Moderate degree of stress and tension at busy times, especially when dealing with last‑minute adjustments.
Other Characteristics: Must be flexible and willing to work after hours sometimes—also weekends. Must be willing to accept and work with all types of people.
